Archiving of Meeting Maker Calendars

Information and Library Services will be migrating your Meeting Maker calendar into Google Calendar preserving the data between January 1, 2011 and December 31, 2013.

If you would like to archive data prior to January 1, 2011, ILS recommends exporting your calendar to PDF format. (Windows computers will need to have PDFCreator installed prior to exporting). If you want to preserve group or resource calendars, open the calendar and follow the same steps below.

For Basic Event Archives (Monthly view. Event titles and start times only)

– In Meeting Maker, Go to File > Print Schedule

– Select the date range you want to archive.

– Form: should be set to Monthly

– Page: should be set to Full Page – Landscape

– Click OK

Windows

–       In the Select Printer field, select PDFCreator as your printer.

–       Click Print.

–       Click the Save button.

–       Name your calendar archive file, choose where you would like to save it and click Save.

Macintosh

–       Click on the PDF button in the lower left corner of the Print window and select Save As PDF…

–       Name your calendar archive file, choose where you would like to save it and click Save.

For Full Calendar Details (Event Details, Guest List, Agenda, Guest Comments)

– In Meeting Maker, Go to File > Print Schedule

– Select the date range you want to archive.

-Form: should be set to Event Text

– Page: should be set to Full Page

Click the Form Options… button.

– Make sure all the check boxes are checked.

– Click OK

– Click OK

Windows

–       In the Select Printer field, select PDFCreator as your printer.

–       Click Print.

–       Click the Save button.

–       Name your calendar archive file, choose where you would like to save it and click Save.

Macintosh

–       Click on the PDF button in the lower left corner of the Print window and select Save As PDF…

Name your calendar archive file, choose where you would like to save it and click Save.
