Publicize your event

The Communications office tells the world what’s going on at Bates. If your on-campus event will be open to the public, we’re happy to help you get the word out.

As you book your event in the online room-reservation system (Events at Bates), look in the Custom Attributes section of the form. If you click “Open to the Public,” the event will be copied to us and your event will be submitted for the monthly print calendar and the online Monthly Events Schedule.

But deadlines are critical (see below). For the calendars, the BCO needs your event information five weeks before the start of the month in which your event takes place.

In addition, if your event is a month or more away, you can contact the BCO about doing a press release. Sometimes the BCO will write and send the press release, and sometimes they will ask you to draft a release that they will edit and send to the media. But deadlines are critical. Most media organizations can’t use event information submitted less than two weeks before an event, and the BCO needs additional time to process the release.

Important events often come up at the last minute, and the BCO makes every effort to publicize last-minute events of broad public interest. But for the best chance of publicity, plan to send your event information to the BCO at least a month ahead.

BCO Deadlines for Event Information

  • Bates calendars: Five weeks before the first of the month in which your event takes place
  • Press releases: At least a month in advance
