1. Move read messages to other folders, do not keep them in the Inbox. Organize your messages into labeled folders, like in a file cabinet.
2. Empty your Trash folder routinely. Do not use the Trash folder as storage, as messages in the Trash are automatically purged after 30 days.
3. If your e-mail is set to save a copy to Sent mail, keep only your current Sent mail (1 yr. or less) in that folder. If it is necessary to keep older messages, archive each year to a new folder, ex. 2004-sent), then delete the oldest folder. NOTE: Chances are if you haven’t needed to refer to them after a year, you most likely do not need to keep them.
4. Consider moving older, less important e-mail messages to your local mailbox folders for archiving. There is a quota limit on accounts.
5. Use message filters to separate out messages from Inbox directly to folders, by subject or sender. [PMX:####] (SPAM) and other messages to be deleted can also have filters set to move them directly from Inbox to the Trash folder.
6. In your e-mail program, sort the Inbox by date to more easily examine, delete, or move older messages to folders.
7. Consider receiving listservs in digest format, instead of many individual messages. Each list will have instructions (generally sent when first subscribed) on how to set this. Unsubscribe from listservs when you do not have access to your Inbox for long periods of time (ex. forsale, etc.).
8. If your e-mail is set to save a copy to Sent mail, remember that you have a copy of Sent messages in that folder, there is no need to cc (carbon copy) or bcc (blind carbon copy) yourself.
9. IMAP means that the messages are kept on the server, not on your computer’s harddrive. There is no need to additionally back up these folders.
10. Consider deleting messages with attachments (that have been saved to the harddrive). Sorting messages by size allows you to identify large messages.
Please remember large Inboxes make it slow for everyone to read their e-mail.
