Bates is committed to making printing readily available while also reducing waste and enhancing information security.

Through the use of the Equitrac Print Release system, print jobs start printing only when the user is present at the printer. This helps eliminate wasted paper and toner, and increases information security. To help us in our effort to reduce our environmental impact, we do ask that users print responsibly.

Print only what you absolutely need.

Use Print and Mail Services in Lane Hall Room 1 for large numbers of copies.

If you do not see your print job start immediately, please wait a few moments and then alert a support individual. Resist sending another print job.

If a printer is malfunctioning, please contact Help Desk Services immediately

Printers are located in every academic and administrative building. Some printers may be restricted and not available to the general community. For a complete list of accessible printers, please see the Peru Printer Chart.

For those who are visiting Bates and may need to print, guest print cards are available at the Help Desk. Printing with the guest cards is only available at kiosk computers located around the Library.

Scattered throughout the buildings of the Bates College campus are kiosk Windows computers.

A. These Kiosk computers can:

Access the internet (including web based e-mail and Adobe Acrobat documents),

Limited word processing function,

Read flash drives, CD’s, and floppy disks

Can print to nearby network printers (preset, use control/p to send print job enter guest ID number from cards available at Circulation, Reference, and Help Desk Services - no password required to be entered) . See print release station instructions.

Ladd Library has a least one kiosk on each of the four floors. There are three stand up work stations located next to the Reserve counter, 1st floor. The three kiosks located across from the Reference counter have stools to sit at, as well as others located by Help Desk Services, Periodicals, and three in the Audio dept., ground floor. Each of the upper floors has a workstation with a stool located at either end of the floors, and two located on the ground floor (in Govenment Publications and Micromedia areas). Other buildings have kiosks for quick online access to the internet (and Bates Gmail): New Commons, Chase Hall, Libbey Forum, and the Dunn Guest House.

These computers do not require a Bates User Account to login and access the limited functionality.

NOTE: Guests and Community members wishing to print from a kiosk (online federal or state government publications, for example) please SEE a staff member at either at Circulation, Reference, or Help Desk Services desks to borrow a print card.

Please consult the Computer Use Policy as well as the Access to Computing and Electronic Information Resources for additional information.

For fast and efficient printing, Information and Library Services advocates the use...

For fast and efficient printing, Information and Library Services advocates the use of our network printers located throughout campus; that not only print duplex to save paper and other supplies, but also handle many special printing needs as well.

Please consult the help sheets on how to add a network printer to both a windows computer and macintosh.

Network printers are located on both Canton and Lincoln servers

Naming of the printer is based on building and room or 1,2 (ex. CantonPgill-252-A) .

Know where your print job is going, use File, Print to select the printer vs. clicking on a printer icon

Separate any color pages to print to go to a color printer, instead of the entire print job going to the color printer which is typically slower and uses more toner supplies

To override a duplex setting, or any automatic tray setting, under File, Page Setup of the individual document, change the settings for duplexing or tray selection as desired

Changing the settings on the printer itself can also override the automatic settings

Pick up your print job promptly

Please do not send the print job to more than one printer, instead:

Cancel the print job yourself by double clicking on the printer and clicking to highlight the print job, under Document, select cancel

Let’s all try and do our part for responsible printing, for the good of the environment and efficiency at Bates.

A. Keep a backup The most basic tenet of effective file management...

A. Keep a backup

The most basic tenet of effective file management is to have two copies of every file you create, in two separate places. Thus if one becomes lost or damaged, you still have the second copy as a backup.

B. Name your files in a logical and reasonable fashion.

The name final2.doc really won’t mean too much to you by the end of the semester. It is best to name files using letters and numbers only. If a file will be used on a PC, never use / or . in the file name, although – is okay. Avoid spaces in files that will be used on the web. Consider how you want a series of files organized when you name them. Either start all similar files with the same first letters to group them, or name them individually, and add numbers to the end of each file to differentiate between different versions.

C. Always know where you are saving a file.

Check the path the computer is going to use EVERY time you save a file.

D. Always save your file before printing

If there is a problem with printing, it can prevent you from saving changes

E. It is best to work on a copy of the file on the local hard disk.

Save your changes to that file frequently, and then copy that file to your personal file storage periodically, keeping an archive of older editions. Multiple versions means that if you do irreparable damage to the current file, you can go back to the last saved version, and reconstruct.

F. MEMORY STICKS, CD/DVD RW’s AND OTHER REMOVABLE STORAGE:

Removable storage devices are very convenient, inexpensive, and portable. However they can be lost, and the media with which they are created does wear out eventually. The data, for instance, can also become corrupted, and it may only be partially recoverable. If you use writable cd’s, please be sure to back them up on an additional media or network server, replace them yearly, and keep them in a protective case in order to keep dirt and dust from getting into the disk and scratching the media.

G. PARIS:

Bates College has provided every student, faculty and staff with at least 10 MB of network storage space for personal files. The space is located on Abacus, but can most easily be accessed by going through Paris, which is a server that allows you to view your Abacus files directly (no UNIX commands required!) You might think of it is a giant virtual floppy disk that follows you around campus on the network. It is backed up nightly, so files may be recovered, although the process for recovery is not instantaneous, nor automatic, and a request for such should not be considered unless it is critical to your success at Bates. All network services at Bates College must be serviced at regular intervals, so there will be short periods of time when Paris will be unavailable.

NEVER EDIT YOUR FILES DIRECTLY ON PARIS. MAKE A LOCAL COPY!

H. HARD DISKS:

The public labs at Bates College all have special system administrative software on them that resets them after they are rebooted. Therefore, any files left on a public lab computer MAY NOT BE THERE after the machine has been restarted. You should work from a copy of the file on the local hard drive (NEVER THE DESKTOP FOR LAB MACHINES) and then transfer your files to Paris or a memory stick or writable cd frequently, in case the machine crashes, or loses power unexpectedly.

If you have your own computer then saving a copy of a file to the hard drive on your personal computer is a good backup. Don’t let it be your only copy, because even hard drives can fail!
