Checklist for Visitors to Campus Computer Presentations PART A – Bringing your...

Checklist for Visitors to Campus

Computer Presentations PART A – Bringing your own laptop

Bates College does allow visitors to campus to use their own laptops for presentations. We recommend you read this guide and are very comfortable with using your own computer. Our technical staff can not be responsible for problems with your presentation when you bring your own laptop. If you are bringing your laptop, here are a few things for you to keep in mind.

What type of video does your computer output, DVI or VGA? A DVI connection is found on some newer machines, but the predominant connection is still VGA. Bates College only uses VGA connections. If you have a DVI output, you will need to provide a DVI-VGA converter.

You will also need to understand how to be able to output video from your computer. Most PC’s have a key combination that tells the computer to output the video. Typically, these keys include the Fn button along with an F key. For example, on a Dell laptop, you press Fn-F8 to output to a projector. It is your responsibility to know how to do this on your computer.

Some computers use proprietary outputs. For example, MacBook computers use either a min-VGA or a mini-DVI cable to output the video. You need to know if your computer uses one of these cables. If so, it is your responsibility to bring one along with you. We will not provide you with the cable you need.

Matching the computer output to the resolution of the display is an important factor in getting the display correctly presented on the screen. Check your computer’s user manual for the correct way to do this for your particular computing equipment. Bates uses the the XGA standard, which is 1024×768. Many laptops however use a much higher resolution. It is good planning for you to make sure you know how to set your computer to XGA resolution.

Finally, you want to make sure you turn off any energy settings or screen saver settings for your computer. Many laptop computers are set to turn off the screen after a short period of time, even when plugged in. You do not want this happening during your presentation. You may also want to review your desktop picture. Is it something you want the entire audience to view?

PART B – Using an installed computer

If you have decided to use a computer provided by Bates, we have taken care of the items discussed in the previous section. However, you still have some work to do. First, you will need to communicate with us to confirm we have the same software that you plan to use for your presentation. For example, if you created a presentation in Keynote, you will not be able to open the file at Bates, as we only use PowerPoint.

Be sure to take a “hard copy” of your presentations, namely on a CD or thumbdrive. Include on your CD:

- All of your presentations

- Associated files to your presentation, such as:

o Video files

o Audio files

o Data files

o Photos used, that may be linked to your presentations.

o Other files, maybe HTML or website references.

Test your presentations, independent of your network, on a standalone computer using only your primary memory storage and your CD backup to make sure that all of your content is available to your presentation. Check that the videos play, the audio works and the links to HTML document can be found by your presentation software. Often when creating a presentation on a computer that is connected to a LAN, the presentation software will “link” to the original file stored somewhere on the network. This link may need to be redirected to your local storage item. When you name your presentation file, we suggest you include your last name in the filename, and a unique title pertaining to your talk. It is not unusual for an event to have multiple presenters who all name their talk so similarly that when they are transferred to a common computer one can not distinguish one presentation from another. By using your last name and a specific title, the presentations may be easily arranged in sequence for the event.

Video Presentations

1.VHS. Although VHS has been supplanted in the past few years by DVD, there is still a wealth of educational programming available on VHS tape. VHS also has the benefit of being fairly easy to create, record, and duplicate. Compared to DVD, VHS does not have very good picture quality. When blown up on a very large screen, the image will appear to be fairly grainy and low quality. One advantage of VHS over DVD is the VHS tape can be cued to a particular spot before the presentation, and can be inserted into the VHS player and played immediately from that spot.

2. DVD. DVD discs can be of two different varieties; DVD-ROM and DVD Video. DVD-ROM discs work the same as CD-ROM discs and are intended to hold computer files. They are not for use in regular DVD players. DVD Video Discs are the current standard for commercial distribution of pre-recorded video material. They have also recently become more popular for home recording, as computers with DVD-R drives, set top DVD recorders, and Mini DVD Camcorders have become more affordable. Standard DVD discs provide very good quality video that should look good even on fairly large screens. Because the discs are random access, you can jump to any pre-defined chapter instantaneously on the discs, much like skipping between songs on a CD. It is important to remember that different areas of the world encode their DVDs in a different format. With very few exceptions, our DVD playback equipment on campus will only work with Region 1 or Region 0 (aka “Region-Free”) discs encoded in NTSC format. Discs from other countries that use a different region, or that use the PAL or SECAM format are generally not supported and if one of these discs are required for your presentation, you may need to make prior arrangements to test compatibility or to locate a different copy of the video. If your DVD is not a commercially prepared DVD, keep the following tips in mind:

o If you are making the disc in a set top DVD recorder or DVD/VHS recorder, make sure the disc is finalized in the recorder. This has to be done in the unit that made the recording.

o If you recorded something on a DVD Camcorder, that disc must be finalized as well.

o There are many different “flavors” of recordable DVD’s: DVD-R, DVD-RW, DVD+R, DVD+RW, and DVD-RAM. Although newer players are capable of handling all of the formats, to ensure the widest compatibility, we recommend recording your disc in the DVD-R format if at all possible.

Audio Reinforcement

Audio Reinforcement is the system that will help you be heard throughout the presentation space. As a presenter you should be clear with whether you feel you need to be reinforced. If the audience is struggling to hear you while you present, the effectiveness of your presentation is greatly diminished. Microphones types are detailed below.

o Lectern- Typically a Gooseneck Microphone. These types of microphones do not handle well (noisy when moved) so set up the mic and leave it in position.

o Hand- held- Wireless are more convenient, but both wired and wireless handle well. This is a good microphone to use if you are moving around and don’t need to use your hands for other things.

o Lavaliere- Clips to your clothing so that your hands are free. This type of microphone takes some adjusting to get in the right location to pick up your voice. Also, it will pick up noise from clothing rubbing together or from jewelry that is hanging around your neck. This type of microphone has a transmitter (called a body pack) that is about the size of a deck of cards. If you are using this type of microphone you will need a place to attach the body pack to your clothing. This can be a belt or pocket, however a dress without pockets or a belt will have no place to attach the body pack.

WHAT TO DO WHEN YOU GET THERE

Schedule a time to get orientated – this is the most important thing! You can even schedule this before you get to campus. DO NOT WAIT UNTIL 15 MINUTES BEFORE YOUR PRESENTATION! Learn how to use the system properly

o If the system is an installed fixed system, become familiar with how you select sources and control more constant features like lighting, volume and the screen.

o Fixed systems for the most part are controlled through an interactive touch panel.

o Whenever possible do a dry run, or at least a brief display test with your materials. Simple changes may need to be made, for example changing the display settings on your laptop so that they are compatible with the data-projector, if you plan on using a PC that is integrated into the AV system, be aware of what operating system it is, what version of windows it is running, and if the font that you are using is supported. Otherwise your materials may open, but have been reformatted.

o Call in advance with any questions, or to get contact information. Our staff is available until 6 PM and will be happy to answer any questions.

During the 2011-12 academic year, Information and Library Services revised and updated...

During the 2011-12 academic year, Information and Library Services revised and updated our “strategic directions” document that has guided annual and long-term planning since 2005. This gave us the opportunity to rethink our priorities in light of new information formats and technologies, especially mobile technologies that have emerged since 2008, and to analyze them in the light of current financial realities.

The results of our work in 2011-12 reflect this new thinking. It affirmed our commitment to effective use of information and technology in teaching, learning and administration of the college. It reinforced the importance of reliability and ubiquity in information access and technology, while underlining the impact of new demands for information access everywhere on campus, by students, faculty and staff through an growing array of mobile devices. And this planning underscored the need for careful alignment of our plans with both the facilities master plan of the campus and campus efforts to address ongoing maintenance of existing systems. ILS continues to be results oriented. As we work toward new goals for 2012-13, here is a summary of the results of our work in 2011-12.

We reduced the number of browsing periodicals to an essential minimum compatible with a new coffee shop arrangement, and created a new home for the Math and Statistics workshop with temporary furniture. All this to enable both planning and building of expanded learning functions in the library.

Does Bates support wireless network access?

Is there anything else I should know?

1. Does Bates College have a required computer purchase?

No. Bates does not have a required computer purchase.

[TOP]

2. Should I buy a computer for use at Bates?

If you can afford to purchase a personal computer, we strongly recommend that you do so. Bates College has many public computers available to students but access to these computers varies, depending on the location of the computers and the general demands on them.

[TOP]

3. Does Bates recommend particular computers?

Yes, Bates recommends Dell and Apple computers. Information is available at this site advising how to configure and order a Bates recommended computer directly from Dell or Apple.

[TOP]

4. Should I purchase a laptop or a desktop computer?

Basically, this is a choice of personal preference since there are advantages and disadvantages with each model. However, we would recommend purchasing a laptop computer, if possible. In recent years, over 95% of the computers owned by first year students were laptop computers.

You can use a laptop at over 450 public, wired network jacks on campus. Also, wireless computer access is available in Ladd Library, Chase Hall, Commons, Perry Atrium in Pettengill Hall, in major classroom buildings and in all residence halls. We strongly recommend purchasing a security cable if you have a laptop computer.

[TOP]

5. How do I order a computer from Dell?

You can either call Dell or you can place an order at www.dell.com/bates. To place an order on-line, you will need a valid email address.

To order by phone, call 800-695-8133, extension 4160560, and identify yourself as a Bates student. You will be able to modify the configuration, just as you would if you ordered the computer on-line. If you want to pay for the computer with a check, you should call, place your order and then mail a check to Dell. If you reside outside the US, you can contact Dell via email at US_International_Student_Purchases@Dell.com. Bates encourages the purchase of a four year warranty with CompleteCare, if available.

To place an on-line order, access Dell from the Bates sales web site at http://www.bates.edu/ils/services/technology-sales-service/buy-dell/ or from www.dell.com/bates. The Bates ID for Dell is BS10577074. An order placed on-line must be charged to a credit card. If you have problems placing an on-line order, you can call 1-800-695-8133, extension 4160560.

[TOP]

6. How do I purchase a computer from Apple?

You can order a computer from Apple either by calling Apple or by accessing Apple from the Bates custom Apple Store. Orders can be placed 24 hours a day, seven days a week. You should remember that you are eligible to purchase one laptop, one desktop and two monitors from Apple per academic year (7/1 through 6/30), and that all sales are final.

To order by phone, call 1-800-800-2775. You will need to identify yourself as a Bates student and you may be asked to provide proof of matriculation. In addition, you will need to have a United States billing and shipping address. You can pay by check or credit card.

To place an order on-line, access the Bates custom Apple Store from the Bates sales web site, http://www.bates.edu/ils/services/technology-sales-service/buy-apple/ and click on the Apple image or go to www.apple.com/education/store . If you go directly to the Apple education store, you should select ‘shop for yourself’ and then ‘higher education faculty, staff, and students.’ After selecting your school, you will be informed that Bates has a custom Apple Store and will be able to link to it. Orders placed on-line require credit card payment. Bates recommends MacBook Pro laptops and encourages the purchase of AppleCare.

You can also purchase an Apple computer at an Apple retail store. To receive the academic discount, you will have to ask for it, indicate that you are affiliated with Bates College and provide proof of matriculation.

[TOP]

7. When should I order my computer?

We recommend ordering a computer as soon as possible. Manufacturers can encounter unanticipated shortages or other production problems and cannot always guarantee delivery by the start of school.

8. If I order a computer from Dell or Apple, can I have it delivered to Bates?

Yes, you can have your computer delivered to Bates. However, we recommend that you have the computer delivered to your home address so that you can check the computer and load software before you arrive on campus. If it is not convenient for the computer to be delivered home, it can be sent to Bates, according to the address formats listed below.

For First Year Students:

First Name Last Name, 2017

C/O Chase Package Center

Bates College

56 Campus Ave.

207-786-6098

For Returning Students:

First Name Last Name

Box # Bates College

Lewiston, ME 04240

Student telephone number

[TOP]

9. What are the requirements for a student’s computer at Bates?

A student’s computer at Bates must have a current anti-virus program and the operating system must be current. Bates provides Sophos Anti-virus for all students at no charge (See FAQ 11). Information and Library Services staff are available to assist students with networking their personal computers. However, given the varieties of available systems, ILS cannot guarantee network access for all computers. Beta releases of operating systems are not supported.

[TOP]

10. How will I connect my computer to the Bates network?

Before you can connect your computer, you will need your login user name and password. Login information will be made available to first year students via the Bates Garnet Gateway. If you have questions about obtaining your password, please contact Help Desk Services at 207.786.8222. If you have not memorized your password, remember to bring it to campus with you. Your password is unique to you and it is your entry to the Bates network. Do not share your Bates password with anyone.

To connect your computer to the Bates network, you will have to register the computer on the network. The registration program will check for current, updated anti-virus software and a current, updated operating system. If your computer does not meet these requirements, you will be directed to internet sites for assistance.

[TOP]

11. Is virus protection software required?

Yes, virus protection software is required. Bates provides Sophos Anti-virus, for PC’s and Macs, at no charge. Information and installation instructions for Sophos are available at: http://www.bates.edu/back-to-school.xml. Full network registration support is provided for computers with Sophos. Limited support is provided for computers with other anti-virus programs.

[TOP]

12. How do I install or update Sophos on my computer before I come to campus?

Instructions for installing or updating Sophos can be found on the ILS web site,http://www.bates.edu/back-to-school.xml. Help Desk Services can also provide assistance. They can be reached via email at helpdesk@bates.edu or by phone at 207.786.8222.

[TOP]

13. What other software will I need?

You will need word processing software. Bates has standardized on and supports the Microsoft Office Suite of products. Other programs are not supported.

Bates offers the Microsoft Office 365 University from an on-line vendor, eAcademy. To order the software you will need your Bates username and password and access to your Bates email.

[TOP]

14. What operating system should I have on my computer?

For Windows computers, we recommend Windows 7. Beta releases of operating systems are not supported.

Current operating system upgrades are required in order to access the Bates network.

[TOP]

15. Is network file storage available?

Yes, Bates provides secure, temporary network disk storage space for students to save class work.

Computer hard drives can fail. We suggest purchasing an external hard drive to back up Bates work as well as photos, music and other personal files.

[TOP]

16. Does Bates support wireless network access?

Wireless network access is available in Ladd Library, Chase Hall, Commons, Perry Atrium in Pettengill Hall, major classroom buildings and all residence halls.

Personal wireless equipment is not permitted on the Bates network. Students will be asked to remove any personal wireless equipment that is on the network.

[TOP]

17. Is there anything else I should know?

Information and Library Services staff are available to assist students with networking their personal computers. Given the varieties of available systems, ILS cannot guarantee network access for all computers.

Be sure to bring all CD’s and DVD’s that come with a computer and peripherals. Often the CD’s and DVD’s contain files that may be needed during a computer repair.

For wired access, a computer will need an Ethernet cable to connect to the network jack. Cables are available for sale at Computer Sales, 110 Russell St.

Bates College Security recommends that students use a security cable to secure a laptop computer in a dorm room or in the library. Security cables can be purchased at Computer Sales at 110 Russell St. or at most computer and office supply stores.

The information on the web site is current as of April, 2013. We suggest that you check this web site periodically to see if any changes have been made to the Back-to-School program.

We have tried to anticipate your questions. However, if there is something that we missed, you can call us at 207.786.6376 or email us at computer_sales@bates.edu.
