“A 404 page not found error happens trying links to pages within the site”
The link paths should be relative to the directory they live in, in the ex. above. schedule.htm lives in the root directory of “rugby” as does index.htm and that is all that is needed for the file name.
If there is a subdirectory, /subdirectory/filename.html calls the appropriate file.

“Images are missing/broken from the club webpages”
Do the image files appear on the “remote” or server side of the images directory in the site management? If not, upload the local images folder to the site (from within the root directory). Check for accuracy of filenames spelling, capitalization, etc. (i.e. image1.jpg vs. image1.JPEG)

“I want to edit a site, but I don’t know who to contact for permission.”
Find out the name of the last person in the organization to be in charge of the website, then email jfrizzel@bates.edu with the club name and web address, and the previous web editor’s name, for the needed permissions.

“Can we use CMS for the club webpages?”
CMS is the official/departmental web publishing tool, and is not available for student club or organization authoring. Dreamweaver is supported, and available on lab machines throughout campus.

“Why are there extra characters in the url of the club website?”
Urls should be easy to read and relate to others. Spaces in directory or file names can place % in the url or an underscore _ can be missed easily, and make a difference in locating the page. Short, one word directory and file names make for easy to use and find web pages.

A. Keep a backup The most basic tenet of effective file management...

A. Keep a backup

The most basic tenet of effective file management is to have two copies of every file you create, in two separate places. Thus if one becomes lost or damaged, you still have the second copy as a backup.

B. Name your files in a logical and reasonable fashion.

The name final2.doc really won’t mean too much to you by the end of the semester. It is best to name files using letters and numbers only. If a file will be used on a PC, never use / or . in the file name, although – is okay. Avoid spaces in files that will be used on the web. Consider how you want a series of files organized when you name them. Either start all similar files with the same first letters to group them, or name them individually, and add numbers to the end of each file to differentiate between different versions.

C. Always know where you are saving a file.

Check the path the computer is going to use EVERY time you save a file.

D. Always save your file before printing

If there is a problem with printing, it can prevent you from saving changes

E. It is best to work on a copy of the file on the local hard disk.

Save your changes to that file frequently, and then copy that file to your personal file storage periodically, keeping an archive of older editions. Multiple versions means that if you do irreparable damage to the current file, you can go back to the last saved version, and reconstruct.

F. MEMORY STICKS, CD/DVD RW’s AND OTHER REMOVABLE STORAGE:

Removable storage devices are very convenient, inexpensive, and portable. However they can be lost, and the media with which they are created does wear out eventually. The data, for instance, can also become corrupted, and it may only be partially recoverable. If you use writable cd’s, please be sure to back them up on an additional media or network server, replace them yearly, and keep them in a protective case in order to keep dirt and dust from getting into the disk and scratching the media.

G. PARIS:

Bates College has provided every student, faculty and staff with at least 10 MB of network storage space for personal files. The space is located on Abacus, but can most easily be accessed by going through Paris, which is a server that allows you to view your Abacus files directly (no UNIX commands required!) You might think of it is a giant virtual floppy disk that follows you around campus on the network. It is backed up nightly, so files may be recovered, although the process for recovery is not instantaneous, nor automatic, and a request for such should not be considered unless it is critical to your success at Bates. All network services at Bates College must be serviced at regular intervals, so there will be short periods of time when Paris will be unavailable.

NEVER EDIT YOUR FILES DIRECTLY ON PARIS. MAKE A LOCAL COPY!

H. HARD DISKS:

The public labs at Bates College all have special system administrative software on them that resets them after they are rebooted. Therefore, any files left on a public lab computer MAY NOT BE THERE after the machine has been restarted. You should work from a copy of the file on the local hard drive (NEVER THE DESKTOP FOR LAB MACHINES) and then transfer your files to Paris or a memory stick or writable cd frequently, in case the machine crashes, or loses power unexpectedly.

If you have your own computer then saving a copy of a file to the hard drive on your personal computer is a good backup. Don’t let it be your only copy, because even hard drives can fail!

Most Windows applications default to storing a user’s documents and data files within...

Most Windows applications default to storing a user’s documents and data files within the My Documents folder, which is located on the local hard drive. This presents a problem if the hard drive should fail, risking the loss of some or all of the user’s files.

Enabling the Offline File Synchronization program (this link is for the text-only instructions, including how to restore this process after a computer has been reimaged, see the link below this for the html instructions) solves the problem by instructing Windows to keep a copy of each document or data file on both the local hard drive and on a secured network storage server. If the computer, such as a laptop, is removed from the Bates network, the user can continue to work on the local copy of the file(s). When the computer is reconnected to the network, Windows will synchronize the files with those on the network server, updating any changes.

Note: Offline File Synchronization uses an individually assigned folder, and covers all of the folders and files contained within it. Permissions are set so that only the user can access this master folder. As a rule, you should not copy your entire My Documents folder to the network because it contains system and personal files that we do not want to store on the network. For that reason, we create a folder called Bates Work, within the My Documents folder, and all Bates work to be synchronized will be stored there. You should not place photos or music files in the Bates Work folder unless they are specifically related to your work at the College.

When you have complete the setup, you should move your Bates files and directories into your Bates Work folder. By default, Windows will recognize that you are copying your files and directories to a different hard disk. You will therefore have another copy of your files. After you have verified that the files have been copied to their new location, you should delete the originals. Log off and then log on again to your computer to verify that the files you placed in the folder appear as they should.

Please remember that you should not use your Bates Work folder for storing personal files, or media. Also, Access databases will not synch successfully to the network in this manner.

NOTE: It is not best practice to copy your Bates Work folder or delete a copy of the folder, as this risks losing the originals which would have to be recovered from backups.
