All students, faculty and staff have space available to store personal files...

All students, faculty and staff have space available to store personal files on the network server named Paris. Storing files on your own computer, and then storing a copy on Paris will ensure file availability. Paris advantages:

Accessible from all networked machines on campus (icon on desktop of windows lab machines)

Files are backed up by ILS each night (no more lost documents)

Provides storage space for academic files (not for applications or materials protected by copyright)

Files can be moved without the use of SFTP – except from off campus, see installation and configuration instructions for WinSCP SFTP for Windows and Fetch SFTP for Macintosh

IMPORTANT TIPS:

SEE: Paris Network File Storage Macintosh Access and Windows Access

There are other files visible when you open your paris folder that should not be deleted from your account. These files start with dot (ex. .ssh). Accidently deleting these files will result in the inability to login to programs such as Putty and others needed for web page development, for example. Contact Help Desk Services if you need to have these files restored.

MACINTOSH v.s. WINDOWS FILES:

Even though a file is on Paris, a Mac file is still a Mac file, and a Windows file is still a Windows file.

Many files can be opened on either platform if they are saved correctly, however. Macintosh machines tend to open Windows files more easily than Windows machines open Macintosh files. Windows machines must have a three/four letter file extension on the end of the file name to identify files. An example would be filename.doc which would be a Microsoft Word document. Common extensions are:

Mircrosoft Excel .xls, .xlsx
Graphic Interchange Format .gif
Mircrosoft PowerPoint .ppt, .pptx
Joint Photographic Experts Group .jpg
Mircrosoft Word .doc, .docx
Portable Document Format .pdf

When all else fails, and you know what type of file you are trying to open, open the appropriate application and then:
From the File menu, choose Open, then select your file from the Open file dialog box.
(sometimes you have to select Files of Type: all files to see all of the possible files, if the extension is incorrect for Windows machines)

FOR ACADEMIC FILES ONLY:

Network storage on Paris is for academic files only. Do NOT back up applications to Paris.

Each user account has a quota that limits the size of their directory. This quota insures that no user can monopolize the space available for file storage on the system. Paris space is for academic use. Increases to the quota for academic purposes can be obtained by emailing netadmin@lists.bates.edu with the desired amount indicated.

To see what your quota, login to abacus (using Putty or Terminal) and run the quota command. See also: How to check your paris quota

DO NOT VIOLATE COPYRIGHT LAWS:

Network storage of files protected by copyright is not allowed. The copyright owners are very active in pursuing and suing violators of copyright laws. This includes music and video files obtained from peer-to-peer file sharing applications.

Below is a list of file servers provided by Information & Library Services for email, for secure network storage, and for web authoring. Data on these servers is backed up for secure storage (timing on back ups may differ by server). There are also task based servers provided as well, information on those servers can be obtained by contacting Help Desk Services.

ABACUS: for Personal Web pages

Personal web pages are hosted on the Abacus server using an Apache HTTP server. All personal web development can be done with any web development tool, although we recommend and support Dreamweaver at Bates College. Due to security issues, we cannot allow custom built cgi scripts. Secure File Transfer Protocol (SFTP) is highly recommended for all web authoring tools that require a Bates network username and password to complete the transfer. Please also consult: Dreamweaver Secure Site Configuration Setup. URL’s appear as: http://abacus.bates.edu/~username/filename.htm and are not searchable by either the Bates search engine or Google.

BELFAST: for administrative resources
The server named Belfast is where all shared files and resources of an administrative nature can be found. Certain departments have requested space on this server in order to provide a shared network resource for administrative purposes. Please view these suggestions for file management before using this server. It is strongly recommended to backup your files using this means of file storage for administrative work of the college.

CHINA: for academic resources
The server named China is where all shared files and resources of an academic nature can be found. Certain classes and departments have requested space on this server in order to provide a shared network resource for academic purposes. Please view these suggestions for file management before using this server. It is strongly recommended to backup your files using this means of file storage for academic research.

DENMARK: for software installation
Bates College has a site license for virus protection software, Sophos, that should be installed on all personally owned computers (installation, etc. helpsheets for Mac and Windows. To comply with licensing issues, there is very little other software that is available for personal installation at Bates College.

MEXICO: Bates Work is stored in a syncronized fashion from your computer to this server on a daily and offline basis. This is available for both Windows and Macintosh platforms. Faculty and staff should call Help Desk Services to arrange an appointment for the Macintosh installation and configuration.

PARIS: for personal file storage
All students, faculty and staff have space available to store personal files on the network server named Paris. Students have 100MB of storage space. The files can most easily be accessed by going through Paris, which is a server that allows you to view your files directly (no UNIX commands required!) You might think of it is a memory stick that follows you around campus on the network and is also available off campus, too. It is backed up nightly, so files may be recovered by contacting Help Desk Services for assistance. All network services at Bates College must be serviced at regular intervals, so there will be short periods of time when Paris will be unavailable. Please view these suggestions for file management before using this server.

PROXY: for accessing Library databases from off-campus
The proxy server is a separate web server which identifies you as an authorized Bates user when you’re connecting via a non-Bates internet service provider. When trying to access subscription-based online indexes, databases, and periodicals using an ISP other than Bates, the proxy server prompts you for your Bates ID and password, and allows you access whether you’re in Lewiston, Boston, or London.

A. Keep a backup The most basic tenet of effective file management...

A. Keep a backup

The most basic tenet of effective file management is to have two copies of every file you create, in two separate places. Thus if one becomes lost or damaged, you still have the second copy as a backup.

B. Name your files in a logical and reasonable fashion.

The name final2.doc really won’t mean too much to you by the end of the semester. It is best to name files using letters and numbers only. If a file will be used on a PC, never use / or . in the file name, although – is okay. Avoid spaces in files that will be used on the web. Consider how you want a series of files organized when you name them. Either start all similar files with the same first letters to group them, or name them individually, and add numbers to the end of each file to differentiate between different versions.

C. Always know where you are saving a file.

Check the path the computer is going to use EVERY time you save a file.

D. Always save your file before printing

If there is a problem with printing, it can prevent you from saving changes

E. It is best to work on a copy of the file on the local hard disk.

Save your changes to that file frequently, and then copy that file to your personal file storage periodically, keeping an archive of older editions. Multiple versions means that if you do irreparable damage to the current file, you can go back to the last saved version, and reconstruct.

F. MEMORY STICKS, CD/DVD RW’s AND OTHER REMOVABLE STORAGE:

Removable storage devices are very convenient, inexpensive, and portable. However they can be lost, and the media with which they are created does wear out eventually. The data, for instance, can also become corrupted, and it may only be partially recoverable. If you use writable cd’s, please be sure to back them up on an additional media or network server, replace them yearly, and keep them in a protective case in order to keep dirt and dust from getting into the disk and scratching the media.

G. PARIS:

Bates College has provided every student, faculty and staff with at least 10 MB of network storage space for personal files. The space is located on Abacus, but can most easily be accessed by going through Paris, which is a server that allows you to view your Abacus files directly (no UNIX commands required!) You might think of it is a giant virtual floppy disk that follows you around campus on the network. It is backed up nightly, so files may be recovered, although the process for recovery is not instantaneous, nor automatic, and a request for such should not be considered unless it is critical to your success at Bates. All network services at Bates College must be serviced at regular intervals, so there will be short periods of time when Paris will be unavailable.

NEVER EDIT YOUR FILES DIRECTLY ON PARIS. MAKE A LOCAL COPY!

H. HARD DISKS:

The public labs at Bates College all have special system administrative software on them that resets them after they are rebooted. Therefore, any files left on a public lab computer MAY NOT BE THERE after the machine has been restarted. You should work from a copy of the file on the local hard drive (NEVER THE DESKTOP FOR LAB MACHINES) and then transfer your files to Paris or a memory stick or writable cd frequently, in case the machine crashes, or loses power unexpectedly.

If you have your own computer then saving a copy of a file to the hard drive on your personal computer is a good backup. Don’t let it be your only copy, because even hard drives can fail!
