This is a method to downloading and saving e-mail from Bates Gmail. This allows for folders and individual messages to be moved/saved to another e-mail program, rather than a long text file, opened in Wordpad.

Download and install Thunderbird for free on your personal computer by going to http://www.mozilla.org/en-US/thunderbird/. Configure Thunderbird for Bates Gmail. (Instructions). Thunderbird will allow you to save all of your mail to your own computer.

Setup a personal Gmail account (http://mail.google.com/mail/signup/) if you do not already have one. (It’s FREE).

Follow the instructions (http://mail.google.com/support/bin/answer.py?answer=180189) to add your personal gmail account to Thunderbird. Also please consult the additional settings instructions for Thunderbird on http://mail.google.com/support/bin/answer.py?answer=78892

In Thunderbird, drag the folders from your Bates Gmail account to your personal gmail account. All the messages in the folder will be copied into gmail. Depending on the number of messages, this may take awhile.

Setup Email forwarding so new messages coming into your Bates account will be forwarded to your Gmail account.

Thunderbird is one of the supported e-mail programs at Bates College. Thunderbird compliments Information and Library Services desire to have the campus using a safe, secure, robust program capable of handling IMAP’d accounts.

Help Desk Services is pleased to assist all users with the installation, conversion from other e-mail programs, and other processes for making this your default e-mail application.

Users may apply upgrades to Thunderbird as the program prompts for them to be applied. Restarting the application may be necessary for the upgrade to be completed.

As part of the ongoing efforts to accomodate the increased usage of e-mail with speed and dependability, good management of deleted messages is essential. Junk and Trash folders are treated the same, in that Information and Library Services automatically purges messages from them that are older then 30 days. This purge will happen EVERY night, not just once a month. The 30 day countdown starts once the message is moved into the Trash or Junk folder.

It is always a good habit to empty the Trash folder routinely. A general guideline is that if you have not needed to look at a message in a month (in either trash or junk), it can be permanently deleted. You can set up filters to sort incoming messages directly into folders for reading/reviewing . Contact Help Desk Services, x8222 with any questions or concerns.

A. Tips for Bates Gmail

Messages marked as Trash or Spam are deleted every 30 days. DO NOT use these folders to store messages you want to keep.

To empty your trash or your spam folders, open the folder and at the top of the list of messages, click on “Empty Trash now” or “Empty Spam now”. This will permanently delete these messages.

B. Tips for Thunderbird:
The easiest method to remove messages marked as deleted, or directed there by a filter, to the Trash folder, is to right click on the Trash Folder and choose Empty Trash, or Under File, click on Empty Trash. This will permanently remove them.

Under Tools, Account Settings, Server Settings:

Consider the options under When I delete a message:

Placing a check in Empty Trash on Exit, or

Set a personal reminder Google Calendar, for example, to empty the Trash (Under File, Empty Trash) on a certain day of the week.

Also under Tools, Junk Mail Controls are available.

Options include:

Not to mark anything as junk that is from a personal or collected address book

Trusting junk mail headers marked by SpamAssassin (or pulldown also by SpamPal)

To move messages determined to be junk to a Junk or Trash folder

When to automatically delete these messages

To move or delete messages users manually move as junk

Please remember Trash and Junk folders are not meant for storing messages, but rather part of the deletion process. Emptying or purging the folders is also necessary.
