Steps You Must Take Before Working
Before applying for on campus student positions, students must visit the Student Employment Office to complete paperwork that is necessary to work on campus. This paperwork includes the completion of tax and banking forms.
- Students must complete the following tax forms: Federal W-4 and I-9 forms, and a Maine W-4 form.
- Students must provide their bank’s routing number and personal bank account number. This information will be used to setup the student with direct deposit.
Note: U.S. resident students are required to complete their tax and banking forms only once during their college career. International students are required to update their tax information annually.
Students must also physically present authentic proof of identification when they complete their tax and banking forms. Identification can be an un-expired passport, an original social security card, or an original birth certificate. It is important to note that the identification documents cannot be copies or expired. These documents are required to verify both the student’s identity and employment eligibility.
Upon competition of the tax and banking forms, and presentation of valid proof of identification, students receive a Work Authorization Card (WAC). The WAC acts as physical proof that the student has been approved to work on campus. Students must have their WAC before they can apply for OR start working in on campus positions. Potential on campus supervisors will ask to see students’ WAC before allowing them to begin working. Students who are eligible for Federal Work Study or Bates Work Study will receive a work card that indicates their WS status in the bottom corner of the card.
