E-mail Managing Trash and Junk Folders

As part of the ongoing efforts to accomodate the increased usage of e-mail with speed and dependability, good management of deleted messages is essential. Junk and Trash folders are treated the same, in that Information and Library automatically purges messages from them that are older then 30 days. This purge will happen EVERY night, not just once a month. The 30 day countdown starts once the message is moved into the Trash or Junk folder. (see also ILS Policy for Purging Deleted E-Mail)

It is always a good habit to empty the Trash folder routinely. A general guideline is that if you have not needed to look at a message in a month (in either trash or junk), it can be permanently deleted. Setting up filters to sort incoming messages directly into folders for reading/reviewing is also a best practice. Contact Help Desk Services, x8222 with any questions or concerns.

Tips for Thunderbird:
The easiest method to remove messages marked as deleted, or directed there by a filter, to the Trash folder, is to right click on the Trash Folder and choose Empty Trash, or Under File, click on Empty Trash. This will permanently remove them.

Under Tools, Account Settings, Server Settings:

  • Consider the options under When I delete a message:
  • Placing a check in Empty Trash on Exit
  • Set a personal reminder in Meeting Maker, for ex. to empty the Trash (Under File, Empty Trash) on a certain day of the week

Also under Tools, Junk Mail Controls are available. These settings are in addition to the PureMessage marking that can be filtered via Webmail.

Options include:

  • Not to mark anything as junk that is from a personal or collected address book
  • Trusting junk mail headers marked by SpamAssassin (or pulldown also by SpamPal)
  • To move messages determined to be junk to a Junk or Trash folder
  • When to automatically delete these messages
  • To move or delete messages users manually move as junk


Tips for Bates Webmail:
The easiest method to remove messages marked as deleted, or directed there by a filter, from the Trash folder, is to Click   This will permanently remove them.

Bates Webmail allows the user to manually mark messages to be deleted, move messages to Trash (or other folders).

  • To permanently delete a number of marked messages,
  • Under Select
  • From pulldown menu: Deleted
  • A check mark will appear, as well as a trash can icon next to the individual message
  • Click Purge deleted to the far right side, by the no. of messages in Inbox (or open folder) will permanently remove them.

Rejectlist functions as a spam filter option by entering individual senders to either:

  • Delete messages completely
  • Mark messages as deleted (that will need to be purged)
  • or Move them to a folder, preferably Junk so that when ready to completely delete them, Click

Save the rejectlist filter rule, and click Return to Rules List. This will now run on any incoming messages.



Please remember Trash and Junk folders are not meant for storing messages, but rather part of the deletion process. Emptying or purging the folders is also necessary.
