Publicize your event

The Communications and Media Relations office tells the world what’s going on at Bates. If your event will be open to the public at large, it’s easy to get the word out through CMR.

As you book your event in the online room-reservation system (Events at Bates), look in the Custom Attributes section of the form. If you click "Open to the Public," the event will be copied to CMR and your event will be submitted for the monthly Bates Invites You print calendar and the online Public Events Calendar.

But deadlines are critical (see below). For the calendars, CMR needs your event information five weeks before the start of the month in which your event takes place.

In addition, if your event is a month or more away, you can contact CMR about doing a press release. Sometimes CMR will write and send the press release, and sometimes they will ask you to draft a release that they will edit and send to the media. But deadlines are critical (see below). Most media organizations can’t use event information submitted less than two weeks before an event, and CMR needs additional time to process the release.

Important events often come up at the last minute, and CMR makes every effort to publicize last-minute events of broad public interest. But for the best chance of publicity, plan to send your event information to CMR at least a month ahead.

CMR Deadlines for Event Information

  • Bates calendars: Five weeks before the first of the month in which your event takes place
  • Press releases: At least a month in advance
