Adhering to these guidelines will ensure we have the information we need for you to be able to use your accommodations effectively.\u00a0 Note that all academic accommodations remain in effect, regardless of mode of instruction.<\/p>\n<h2>Registering Accommodations<\/h2>\n<p>In order to utilize an approved academic accommodation, students must register their accommodation(s) in <a href=\"http:\/\/www.bates.edu\/accessible-education\/aim-portal-for-accessible-education-services\/aim-training-materials-for-students\/\">AIM<\/a> at least <strong>5 business days in advance of a class assessment or assignment<\/strong>. Students must register their accommodations for their courses every semester for each course they plan to use their accommodation(s).\u00a0 Written and video instructions for registering an approved accommodation can be found on our <a href=\"http:\/\/www.bates.edu\/accessible-education\/aim-portal-for-accessible-education-services\/aim-training-materials-for-students\/\">AIM information page<\/a>. Registration will open prior to the start of classes and we will send email reminders every semester.<\/p>\n<h1>If you\u2019re approved for:<\/h1>\n<h2>Exam Accommodations<\/h2>\n<p>If a timed assessment is given via Lyceum, the instructor will adjust the allotted time according to the your approved accommodation.\u00a0 Remote, unproctored exams do not need to be scheduled with our office.\u00a0 If you plan to take an in-person exam with the Office of Accessible Education, you must:<\/p>\n<ol>\n<li><strong>Talk to your professor first, and well in advance of your first quiz\/exam, about implementation of a testing accommodation. <\/strong><\/li>\n<li><strong>Schedule with us a minimum of 3<span style=\"text-decoration: underline;\">\u00a0business days<\/span> in advance<\/strong>. Failure to do so may mean that you are not able to take your exam here.<\/li>\n<li><strong>Schedule your exam during the\u00a0class time.<\/strong>\u00a0Our policy is that\u00a0exams must be scheduled as close to the actual class time as possible.<\/li>\n<\/ol>\n<p><strong><u>How to Schedule an Exam:<\/u><\/strong><\/p>\n<p>Students must log in to the Accessible Information Management (<a href=\"https:\/\/www.bates.edu\/accessible-education\/aim-portal-for-accessible-education-services\/\">AIM) portal<\/a>\u00a0to schedule an exam. Step-by-step written and video <a href=\"https:\/\/www.bates.edu\/accessible-education\/aim-portal-for-accessible-education-services\/aim-training-materials-for-students\/\">instructions\u00a0<\/a>are available. Please note the following:<\/p>\n<ol>\n<li><strong>Be sure to schedule on time.<\/strong> Schedule your exams a minimum of 5 business days in advance.<\/li>\n<li><strong>Schedule your exams for a time block that overlaps with your class.\u00a0\u00a0<\/strong>Due to the current global pandemic we have new capacity restrictions and cleaning protocols.\u00a0 To ensure the safety of our students, staff, and faculty to the greatest extent possible, exams will only be proctored at designated start times: 8:15, 10:15, 1:15, and 2:30<\/li>\n<li><strong>When scheduling, please indicate\u00a0ALL approved accommodations you plan to use<\/strong>\u00a0(for example: extended testing time, computer use, any assistive technology, separate location, etc).<\/li>\n<li><strong>Coordinate with your professor to have the exam sent to our office. <\/strong>Make sure we have the exam here and ready to go for you!<\/li>\n<li><strong>Arrive for your exam on time.\u00a0<\/strong>Come to Ladd Library G35 ready to begin on time. Late arrival won\u2019t extend your scheduled end time; you will be given the remaining time after you arrive to complete the exam.<\/li>\n<li><strong>Contact us with any questions.<\/strong> If you need assistance scheduling an exam, please stop by Ladd Library G35 or contact us at accessibility@bates.edu or 207-786-6222. Our office hours are Monday-Friday 8:00am-4:30pm.<\/li>\n<li><strong>Be familiar with and follow the <a href=\"https:\/\/www.bates.edu\/accessible-education\/exam-accommodation-guidelines\/\">Exam Accommodation Guidelines<\/a>.<\/strong><\/li>\n<\/ol>\n<h2>Peer Note Taking<\/h2>\n<p>To utilize a peer note taking accommodation, you must:<\/p>\n<ol>\n<li><strong>Register your accommodations as soon as possible through <a href=\"https:\/\/www.bates.edu\/accessible-education\/aim-portal-for-accessible-education-services\/\">AIM<\/a><\/strong>. Identifying peer note takers can sometimes take up to 2 weeks or more depending on the course.<\/li>\n<li><strong>Access your notes through <a href=\"https:\/\/www.bates.edu\/accessible-education\/aim-portal-for-accessible-education-services\/\">AIM<\/a>.<\/strong>\u00a0Your assigned note taker will upload their notes into AIM for you to access.<\/li>\n<li><strong>Let us know ASAP if there are any issues so we can address them. <\/strong>We won\u2019t know unless you tell us.<\/li>\n<\/ol>\n<h2>Text in Electronic Format<\/h2>\n<p>If approved to receive textbooks in electronic format, you must:<\/p>\n<ol>\n<li>Check <a href=\"https:\/\/www.bookshare.org\/cms\/get-started\/sign\">Bookshare<\/a> or look for an electronic version of the textbook first (we can help you create a Bookshare account if needed). Check the <a href=\"https:\/\/www.bates.edu\/accessible-education\/assistive-technology\/text-in-alternate-format\/\">Text in Alternate Format<\/a> page for additional resources.<\/li>\n<li><strong>If you are unable to locate an electronic version of your text, send the following to <\/strong><a href=\"mailto:accessibility@bates.edu\"><strong>accessibility@bates.edu<\/strong><\/a><strong> as early as possible<\/strong>: Title, author, ISBN #, copyright year, and publisher. It can take up to several weeks, in some cases, to get an accessible file.<\/li>\n<li><strong>Provide proof of purchase<\/strong>. We cannot request a file from a publisher until we have this. You can drop off a copy of a receipt or email us the purchase confirmation.<\/li>\n<li><strong>Use these files for your personal use only<\/strong>.
