2019-20 Consolidated Faculty & Chairs Deadlines & Meetings

The following meetings will be held as listed and the items are due by the dates noted.  Please see the specific guidelines for submission.

August 22:

  • Department/Program Chairs Retreat8:00 AM  –  2:00 PM in Skelton Lounge, Chase Hall

September 1:

  • Faculty to notify their dept/program chair of their 3-year plan of leaves and intent to apply for: Enhanced sabbatical, Leave of Absence, Phillips Fellowship, Pre-Tenure leave, Sabbatical, and Course reduction.
  • Dean of the Faculty’s office sends Chairs its record of faculty eligible for leaves for the next three years.

September 3:  Convocation at 11:00 AM in the Historic Quad

  • Fall 2019 add/drop opens

September 4:  Classes Begin

September 5:  Personnel letters due for promotion and/or lecturers

September 9:  Faculty meeting in Chase Hall, Memorial Commons, 4:15 pm, with reception immediately following at President Spencer’s house

September 15:

September 17:

  • Last day to add a Fall 2019 course
  • Last day to elect pass/fail for a Fall 2019 course
  • Last day to enter Learning Objectives for Fall 2019 courses

September 25:  Department/Program Chairs meeting, 4:15 PM in Commons 221/222

October 1:  

  • Faculty submit their Extra-Cost Short Term course for approval using the online course proposal system in Garnet Gateway (under the Future Courses menu).
  • Short Term 2020 course proposals due

October 4 – 6:  Back to Bates: Homecoming and Family Weekend

October 7:  Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons. 

October 15:  Winter 2020 draft schedule available for faculty review.

October 16- 20:  Fall Recess

October 21:  Winter 2020 schedule corrections due

October 25-26:  Board of Trustees fall meeting

October 25:   

  • Chairs submit line proposals, lectureship renewals, lectureship re-authorizations, course requests, and three year plans: https://www.bates.edu/dof/allocation-of-faculty-resources/
  • Faculty submit leave requests
  • Last day for withdrawal from fall semester courses (drops) for all students.
  • Last day to elect letter grade for a Fall 2019 course
  • Winter 2020 schedule posted for students
  • Winter 2020 Learning Objectives available

October 30:  Department/Program Chairs meeting, 4:15 PM in Commons 221/222

November 1:  Personal letters due for tenure

November 2 – 8:  Winter semester registration

November 4:  Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons.

November 8:  4:00pm Winter 2020 registration closes; oversubscribed courses are optimized

November 15:

  • Faculty submit proposal for new Fall 2020 FYSs to REGISTRAR.
  • Chairs send titles and instructors of First-Year Seminars to Margaret Imber (mimber@bates.edu).  Questions on satisfying the W1 requirement for FYS courses can be directed to Daniel Sanford (dsanford@bates.edu).
  • Draft Short Term 2020 schedule available for faculty to review.

November 17:  Petitions for Winter 2020 courses due to faculty

November 20: Department/Program Chairs meeting, 4:15 PM in Commons 221/222

November 22:  Petitions for Winter 2020 courses due from faculty

November 23 – December 1:  Thanksgiving recess

November 30:  Chairs submit corrections to the draft Short Term 2020 schedule to REGISTRAR.

December 1:  Letters due for second year faculty.

December 2:  Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons. 

  • AY 2020-21 grids and course planning available in Garnet Gateway.
  • (Students) Winter 2020 registration adjustment (add/drop) opens.

December 2 – 20: Course evaluation

December 6:

  • Classes end, fall semester, 4:00 PM
  • Short Term 2020 schedule posted for students

December 10: 

December 11:  Department/Program Chairs meeting, 4:15 PM in Commons, 221/222

December 14:  Final examinations end, 12:30 PM

December 15 – January 12:  Holiday recess

December 26:  Faculty submit Fall 2019 final grades to REGISTRAR

December 27:  Fall 2019 final grades available for student viewing in Garnet Gateway.

January 13:  Classes begin, winter semester, 8:00 AM

January 13:  Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons. 

January 15:  Returning Faculty submit proposals for new courses for Fall 2020, Winter 2021, and Short Term 2021 on Garnet Gateway – due REGISTRAR.

January 24: 

  • Last day to add a Winter 2020 course
  • Last day to elect pass/fail for a Winter 2020 course.
  • Deadline to enter Learning Objectives for Winter 2020 courses

January 25:  Short Term 2020 Learning Objectives available

January 29: Department/Program Chairs meeting, 4:15 PM in Commons 221/222

January 30:  Chairs submit Fall 2020, Winter 2021, and Short Term 2021 grids, including FYS instructors and titles to the Registrar on Garnet Gateway.

January 31:

  • (Students) deadline to confirm off-campus study (including all study abroad) for AY2020-21.
  • Chairs notify DOF (louellet@bates.edu) no later than January 31st of their plans for replacing positions and courses (i.e. broad search, rehire, etc.)

February 1:  (Students) Short Term 2020 extra-cost, off-campus registration opens.

February 3: Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons

February 7:  Short Term 2020 extra-cost, off-campus registration closes.

February 14:  Draft Fall 2020 schedules available for faculty to review.

February 15:  Personnel letters due for reappointment

February 24:  Fall 2020 schedule corrections due Registrar

February 16 – 23:  Winter recess

February 26:  Department/Program Chairs meeting, 4:15 PM in Commons 221/222

February 28:  Fall 2020 schedule posted for students

March 2:  Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons

March 6:  

  • Last day for withdrawal from winter semester courses (drops) for all students
  • Last day to elect letter grade for a Winter 2020 course

March 7 – 13:   Short Term and Fall 2020 registration

March 15:  Significant curriculum changes due to AAC for review.

March 22: Petitions for Fall 2020 courses due to faculty.

March 27:  Petitions for Fall 2020 courses due from faculty to Registrar.

March 30: 

  • (Students) Short Term 2019 and Fall 2019 registration adjustment (add/drop) opens
  • Department/Program Chairs meeting, 4:15 PM in Commons 221/22

April 1:  

  • Faculty submit applications for additional faculty travel funds to Jason Scheideman.
  • Winter 2021 new course proposals due

April 3:  Mt. David Summit

April 6: Faculty meeting, 4:15 PM in Chase Hall, Memorial Commons

April 6 – 24: Course Evaluations

April 10:  Classes end, Winter semester, 4:00 PM

April 14:  Final examinations begin, 8:00 AM

April 18:  Final examinations end, 12:30 PM

April 19 – 26:  Spring recess

April 27:  Classes begin, Short Term 2020, 8:00 AM

April 28:  Winter 2020 final grades due from faculty.

April 29: Department/Program Chairs meeting, 4:15 PM in Commons 221/222

  • Winter 2020 final grades available for student viewing.
  • Last day to add a Short Term 2020 course.
  • Last day to enter Learning Objectives for Short Term 2020 courses

May 1:

  • (Students) Last day for withdrawal from Short Term 2020 courses (drops)
  • Faculty submit your field(s) of expertise keywords into grid & forward to Lori Ouellette

May 4:  

  • Faculty meeting 12:00 Noon in Memorial Commons – Chase Hall;
  • Faculty retirement reception 4:15 Benjamin Mays Center

May 17:  Department/Program Chairs meeting, 4:15 PM in Commons 221/222

May 25 – June 5: Course evaluation

May 27:  Last possible due date for Winter 2020 deferred grades for seniors – REGISTRAR

May 29: 

  • Classes end, Short Term 2020, 4:00 PM
  • Deadline to notify Registrar’s office of any senior failing a Short Term 2020 course,12:00 PM

May 31:  Commencement 2020

June 8:  Faculty to submit final grades for Short Term 2020 to REGISTRAR

June 9:  Short Term 2020 final grades available for student viewing in Garnet Gateway.

June 15:  Faculty submit Professional Activities Report (PAR) to Alison Keegan

June 30:  Fiscal Year End – Faculty and Chairs submit all invoices to Accounting Office.
