2022-23 Consolidated Faculty & Chairs Deadlines & Meetings

Deadlines and details surrounding the review of new courses and scheduling information for future terms are subject to change pending decisions by the Registrar’s office and the Curricular Review Committee.

 The following meetings will be held as listed and the items are due by the dates noted.  Please see the specific guidelines for submission. 

August 22:

  • CBB Chairs Institute 9:00 AM – 3:00 PM

August 30:

  • Department/Programs Chairs Retreat – 10:00 AM – 1:00 PM,  P’Gill G21

September 1:

  • Faculty to notify their dept/program chair of their 3-year plan of leaves and intent to apply for: Enhanced sabbatical, Leave of Absence, Phillips Fellowship, Pre-Tenure leave, Sabbatical, and Course reduction.
  • Dean of the Faculty’s office sends Chairs its record of faculty eligible for leaves for the next three years.

September 5:  Personnel letters due for promotion and/or lecturers

September 6: Convocation at 11:00 am

September 7: 

  • Classes begin, fall semester
  • Add/Drop opens for all students

September 12:  Faculty meeting, 4:15 PM, Olin Concert Hall (reception to follow at Olin Terrace)

September 15:

  • Faculty submit on-line Phillips Faculty Fellowship applications.
  • Department/Program Chairs Meeting, 4:15 PM, Commons 221/222
  • Winter 2023 new course proposals from new faculty only; returning faculty proposals had an April 1 deadline

September 20:

  • Last day to add a fall course
  • Last day to elect pass/fail for fall course
  • Last day to enter Learning Objectives for fall courses

September 30: CBB Chairs Institute, 2:30 PM – 4:00 PM

October 1:

  • Faculty submit their Extra-Cost, Off-Campus Short Term 2024 proposals to Center for Global Education.  Once approved, courses must be submitted to the CRC using the online course proposal system in Garnet Gateway (under the Future Courses menu).
  • Faculty submit on campus Short Term 2023 course proposals through Garnet Gateway

October 3:  

  • Faculty meeting, 4:15 PM Olin Concert Hall
  • Phillips Fellowship Talk by Brett Huggett, 6:00 PM, Commons 221/222

October 12:  Department/Program Chairs meeting, 4:15 PM Commons 221/222

October 19:  Fall Recess

October 24: Classes resume

October 28:   

  • Last day for students to drop a fall course
  • Last day for students to elect letter grade for fall course

October 27 – 29: Board of Trustees meetings

October 29:

  • Winter schedule posted for students
  • Winter Learning Objectives available

November 1: 

November 4: CBB Chairs Institute, 2:30 PM – 4:00 PM

November 7:

  • Faculty meeting, 4:15 PM, Olin Concert Hall
  • Phillips Talk – Stephanie Kelley-Romano, 6:00 PM, Commons 221/222

November 15:

  • Short Term draft schedule available for faculty review
  • Faculty submit proposal for new Fall FYSs to REGISTRAR.
  • Chairs send titles and instructors of First-Year Seminars to Krista Aronson (karonson@bates.edu

November 16: Department/Program Chairs meeting, 4:15 PM, Commons 221/222

November 19 – November 27:  Thanksgiving recess

November 28: Classes Resume

December 1:  Letters due for second-year faculty.

December 5:

  • Faculty meeting, 4:15 PM, Olin Concert Hall
  • Phillips Talk – Clarisa Pérez-Armendáriz, 6:00 PM, Commons 221/222
  • AY 2023-2024 grids and course planning available in Garnet Gateway
  • Fall course evaluations open

December 9:

  • Last day of fall classes
  • Short Term schedule posted for students

December 10: 

December 13 – 19: Final Exams

December 14: Department/Program Chairs meeting, 4:15 PM, Commons 221/222

December 29: Deadline for faculty to submit fall grades to Registrar

December 30: fall grades viewable by students

January 11: First day of winter classes

January 15: Fall 2023 new course proposals and changes to existing courses (including FYSs) due

January 16: Dr. Martin Luther King, Jr. Day

January 17: Faculty meeting, 4:15 PM, Olin Concert Hall

January 18: Department/Program Chairs Meeting, 4:15 PM, Commons 221/222

January 25: 

  • Last day to add a winter course
  • Last day to elect pass/fail for a winter course
  • Last day to enter Learning Objectives for winter courses

January 26:  Short Term Learning Objectives available

January 28:  Fall 2023 grid submission

January 31: Chairs notify DOF (louellet@bates.edu) no later than January 31st  (tentative) of their plans for replacing positions and courses (i.e. broad search, rehire, etc.)

February 10:  Deadline for students to apply for off-campus study in AY 2023-2024

February 13: Faculty meeting, 4:15 PM, Olin Concert Hall

February 15:

  • Personnel letters due for reappointment
  • Department/Program Chairs meeting, 4:15 PM, Commons 221/222

February 18 – 26:  February recess

March 6:  Faculty meeting, 4:15 PM, Olin Concert Hall

March 10:

  • Last day for students to drop a winter course
  • Last day to elect letter grade for a winter course

March 15:  

  • Significant curriculum changes due to AAC for review.
  • Outside evaluator nominees due from chairs and candidates undergoing tenure reviews
  • Department/Program Chairs meeting, 4:15 PM, Commons 221/222

March 22 – 26: Recess

March 27: Classes resume

April 3: Faculty meeting, 4:15 PM, Olin Concert Hall

April 14:

  • Last day of winter classes
  • Winter 2024 new course proposals

April 19:  Department/Program Chairs meeting, 4:15 PM, Commons 221/222

April 18 – 24: Final exams

May 1:

  • First day of Short Term classes
  • Faculty meeting, 12:00 PM, Olin Concert Hall

May 3: 

  • Last day to add a Short Term course
  • Last day to enter Learning Objectives for Short Term

May 4:

  • Fall Learning Objectives available
  • Winter final grades due from faculty
  • Last day to drop a Short Term course
  • Winter final grades available for student viewing on Garnet Gateway

May 4 –  6: Trustee meetings, location TBD

May 17:  Department/Program Chairs meeting, 4:15 PM, Commons 221/222

May 24: 

  • Last day of Short Term
  • Last possible due date for winter deferred grades for seniors

May 28:  Commencement 2023

June 15:  Faculty submit Professional Activities Report (PAR) to Alison Keegan

June 30:  Fiscal Year End – Faculty and Chairs submit all invoices to Accounting Office.
