2020-21 Consolidated Faculty & Chairs Deadlines & Meetings

Deadlines and details surrounding the review of new courses and scheduling information for future terms are subject to change pending decisions by the Registrar’s office and the Curricular Review Committee.

The following meetings will be held as listed and the items are due by the dates noted.  Please see the specific guidelines for submission.

August 20:

  • Department/Program Chairs Retreat – 10:00 AM  –  2:00 PM with lunch break, via Zoom

August 28: Add/Drop for all students

September 1:

  • Convocation at 12:00 Noon, via Zoom
  • Faculty to notify their dept/program chair of their 3-year plan of leaves and intent to apply for: Enhanced sabbatical, Leave of Absence, Phillips Fellowship, Pre-Tenure leave, Sabbatical, and Course reduction.
  • Dean of the Faculty’s office sends Chairs its record of faculty eligible for leaves for the next three years.

September 2:  Classes begin, fall semester / Module A

September 5:  Personnel letters due for promotion and/or lecturers

September 9:

  • Last day to add a Module A course
  • Last day to elect pass/fail for a Module A course

September 14:  Faculty meeting, 4:30 PM, via Zoom

September 15:

  • Faculty submit on-line Phillips Faculty Fellowship applications.
  • New Faculty submit their course proposals for Winter 2021 on Garnet Gateway
  • Faculty submit their Extra-Cost, Off-Campus Short Term proposals to Center for Global Education.  Once approved, courses must be submitted to the CRC using the online course proposal system in Garnet Gateway (under the Future Courses menu).

September 16:  Department/Program Chairs meeting, 4:30 PM via Zoom.

September 30: Winter 2021 grids due

October 1:  Short Term 2021 course proposals due

October 2 – 3:  Back @ Bates: Virtual Homecoming and Family Weekend

October 5:  Faculty meeting, 4:30 PM, via Zoom

October 13: Fall semester Module A ends

October 15:  Winter 2021 draft schedule available for faculty review.

October 19: Fall semester / Module B classes begin

October 21:  Winter 2021 schedule corrections due

October 21:  Department/Program Chairs meeting, 4:30 PM via Zoom.

October 25:

  • Winter 2021 schedule posted for students
  • Winter 2021 Learning Objectives available

October 26:

  • Last day to add module B courses.
  • Last day for module B registration adjustments and to select pass/fail grading

October 29 – 31: Board of Trustees meetings, virtual

November 1:  Personal letters due for tenure

November 2:  Faculty meeting, 4:30 PM, via Zoom

November 2 – 8:  Winter semester registration

November 3: Deadline for faculty to submit module A grades to Registrar

November 4: module A grades viewable by students

November 8:  4:00 pm Winter 2021 registration closes; oversubscribed courses are optimized

November 9:

November 15:

  • Faculty submit proposal for new Fall 2021 FYSs to REGISTRAR.
  • Chairs send titles and instructors of First-Year Seminars to Krista Aronson (karonson@bates.edu) Questions on satisfying the W1 requirement for FYS courses can be directed to Daniel Sanford (dsanford@bates.edu).
  • Draft Short Term 2021 schedule available for faculty to review.

November 16:

  • Last day to drop module B courses.
  • Last day for module B registration adjustments and to select pass/fail grading

November 17:  Petitions for Winter 2021 courses due to faculty

November 18: Department/Program Chairs meeting, 4:15 PM, via Zoom

November 22:  Petitions for Winter 2021 courses due from faculty

November 25 – November 29:  Thanksgiving recess

November 30:  Chairs submit corrections to the draft Short Term 2021 schedule to REGISTRAR.

November 30–December 7: Students Conclude Semester Remotely

December 1:  Letters due for second-year faculty.

December 6: Short Term 2021 schedule posted for students

December 7: 

  • Faculty meeting, 4:30 PM Via Zoom
  • AY 2021-22 grids and course planning available in Garnet Gateway.
  • (Students) Winter 2021 registration adjustment (add/drop) opens.
  • Final examinations end

December 10:  Chairs submit operating budget requests and capital requests to DOF (jscheide@bates.edu) and Budget office (dginevan@bates.edu)

December 15 – January 12:  Holiday recess

December 16:  Department/Program Chairs meeting, 4:15 PM, via Zoom

December 28: Deadline for faculty to submit module B grades to Registrar

December 29: module B grades viewable by students

January 11:  Faculty meeting, 4:30 PM, via Zoom

January 13: Winter Semester / Module C classes begin

January 15:  Returning Faculty submit proposals for new courses for Fall 2021 on Garnet Gateway – due REGISTRAR.

January 20: 

  • Last day for module C registration adjustments. Last day for module C registration adjustments and to select pass/fail grading
  • Department/Program Chairs meeting, 4:15 PM, via Zoom

January 24: 

  • Last day to add a Winter 2021 course
  • Last day to elect pass/fail for a Winter 2021 course.
  • Deadline to enter Learning Objectives for Winter 2021 courses

January 25:  Short Term 2021 Learning Objectives available

January 30:  Chairs submit Fall 2021, including FYS instructors and titles to the Registrar on Garnet Gateway.

January 31:

  • (Students) deadline to confirm off-campus study (including all study abroad) for AY2020-21.
  • Chairs notify DOF (louellet@bates.edu) no later than January 31st  (tentative) of their plans for replacing positions and courses (i.e. broad search, rehire, etc.)

February 1: 

  • (Students) Short Term 2020 extra-cost, off-campus registration opens.
  • Faculty meeting, 4:30 PM, via Zoom

February 4 – 6: Board of Trustees meetings, campus

February 5: Semester/year off-campus study registration deadline

February 7:  Short Term 2021 extra-cost, off-campus registration closes

February 10: Last day for withdrawal from module C courses. Last day for withdrawal from module C courses and to revert pass/fail grading to letter grade

February 14:  Draft Fall 2021 schedules available for faculty to review.

February 15:  Personnel letters due for reappointment

February 16 – 23:  Winter recess

February 17:  Department/Program Chairs meeting

February 23: Module C classes end

February 24:  Fall 2021 schedule corrections due Registrar

February 28:  Fall 2021 schedule posted for students

March 1:  Faculty meeting, 4:30 PM via Zoom

March 4: Module D classes begin

March 7 – 27:   Fall 2021 registration

March 11:  Last day for module D registration adjustments. Last day for module D registration adjustments and to select pass/fail grading

March 15:  Significant curriculum changes due to AAC for review.

March 17: Department/Program Chairs meeting via Zoom

April 1:  

  • Faculty submit applications for additional faculty travel funds to Jason Scheideman.
  • Last day for withdrawal from module D courses. Last day for withdrawal from module D courses and to revert pass/fail grading to letter grade

April 5: Faculty meeting, 4:30 PM via Zoom

April 6: (Students) Fall 2021 registration adjustment (add/drop) opens 7:00 AM

April 10: Petitions for Fall 2021 courses due from faculty to Registrar

April 13:

  • (Students) Fall 2021 registration adjustment (add/drop) opens 7:00 AM
  • Module D classes end

April 16 – 19 Module D final examinations

April 20–22: No classes

April 21:  Department/Program Chairs meeting via Zoom

April 23: Short Term classes begin

April 28: Last day for module Short Term registration adjustments

April 29: Department/Program Chairs meeting 4:15 PM, via Zoom

April 30:

  • Fall 2021 Learning Objectives Available
  • Last day for withdrawal from Short Term courses

May 1:

  • Faculty submit your field(s) of expertise keywords into grid & forward to Lori Ouellette
  • Winter 2022 new course proposals due

May 3:  Faculty meeting 4:30 PM

May 5: New Pass / Fail declaration deadline for Winter 2021 at 5 pm EDT

May 6 – 8: Board of Trustees meetings, campus

May 12:  Winter 2021 final grades due from faculty

May 13: Winter 2021 final grades available for student viewing.

May 18, 4pm: Short Term classes end

May 19:  Department/Program Chairs meeting, 4:30 PM via Zoom

May 23:  Commencement 2021

May 27:  Last possible due date for Winter 2020 deferred grades for seniors – REGISTRAR

June 15:  Faculty submit Professional Activities Report (PAR) to Alison Keegan

June 30:  Fiscal Year End – Faculty and Chairs submit all invoices to Accounting Office.
