{"id":2114,"date":"2010-09-08T17:38:48","date_gmt":"2010-09-08T17:38:48","guid":{"rendered":"http:\/\/hub-dev.bates.edu\/dean-faculty\/?page_id=2114"},"modified":"2026-03-29T10:57:26","modified_gmt":"2026-03-29T14:57:26","slug":"bates-faculty-development-fund","status":"publish","type":"page","link":"https:\/\/www.bates.edu\/dof\/bates-faculty-development-fund\/","title":{"rendered":"Bates Faculty Development Fund"},"content":{"rendered":"\n<p><span style=\"font-weight: 400;\">Bates values faculty who are active scholars and artists, highly effective educators, and engaged participants in the shared governance of the institution. The Bates Faculty Development Fund is intended to strengthen the faculty of the College by providing resources for scholarship, creative production, or other professional development.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Most sources of internal funding for faculty research and professional development have been pooled to form the <\/span><b>Bates Faculty Development Fund<\/b><span style=\"font-weight: 400;\">, thereby creating a streamlined application and review process. BFDF proposals are evaluated by the <\/span><strong><a href=\"https:\/\/www.bates.edu\/dof\/faculty-scholarship-and-grants-committee\/\">Faculty Scholarship and Grants Committee<\/a>.<\/strong><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Other funding opportunities which retain their own application processes and deadlines include the Learning Associates Program, NEH Language Teaching Support Fund, STEM Faculty-Student Summer Research Grants,&nbsp; Summer Research Apprenticeships, and all grants funded through the institutional INBRE grant.<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"color: #333399;\"><a style=\"color: #333399;\" href=\"https:\/\/www.bates.edu\/dof\/bates-faculty-development-awards\/\"><b>Bates Faculty Development Fund Awardees<\/b><\/a><\/span><\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\"><span style=\"font-weight: 400;\"><span style=\"text-decoration: underline;\"><strong>BFDF Application Deadlines<\/strong><\/span><br><\/span><span style=\"font-weight: 400;\">BFDF applications are due by 11:59 PM on:<\/span><\/h5>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">01 October 2025<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">15 January 2026<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">01 April 2026<\/span><\/li>\n<\/ul>\n\n\n\n<p><span style=\"font-weight: 400;\">Note: There are no extensions to the deadlines. Late applications will be reviewed at the next application deadline.<\/span> Decisions are <strong><em>usually<\/em><\/strong> made by the end of each application month but cannot be guaranteed.<\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Awards may range from $100 to $10,000. The project schedule cannot exceed ONE full academic year following the year of application (i.e., approximately 18 months maximum). Total awards to an applicant per academic year are capped as described below under <\/span><i><span style=\"font-weight: 400;\">Eligibility<\/span><\/i><span style=\"font-weight: 400;\">.<\/span><\/p>\n\n\n\n<p><\/p>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"829b351a-3df2-41ac-aae5-3f71b51b2621\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">Eligibility <\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"829b351a-3df2-41ac-aae5-3f71b51b2621\">\n<p><span style=\"font-weight: 400;\">All current faculty members are eligible to apply for BFDF awards<\/span>, with the following limitations:<\/p>\n\n\n\n<p>For tenure-track faculty, eligibility begins after the third year of tenure-track service, given that faculty scholarly and creative work during those initial years is supported by startup funds. In some cases, it might be reasonable to submit a BFDF proposal at the final application deadline of the faculty member\u2019s third year, if the proposal defines a compelling need for funds at the start of the fall semester of the fourth year.<br><br>For all applicants, eligibility requires timely submission of reports from prior awards, responsible expenditure of prior awards, and timely submission of faculty annual reports.<\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Maximum awards vary with the scale of faculty employment at the college. Full-time faculty (1 FTE) can apply for and receive up to $10k per academic year within the 3 competitive BFDF deadlines.  The clock then restarts at the start of the new academic year and the first BFDF deadline. Part-time faculty can apply for amounts that vary with their contract \u2013 e.g., up to $8k per academic year for a 0.8-FTE faculty member, up to $6k for a 0.6-FTE faculty member, and so on.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">See additional important notes in the section on <\/span><i><span style=\"font-weight: 400;\">Budgets and Allowable Expenses<\/span><\/i><span style=\"font-weight: 400;\">.<\/span><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"3c86f299-e9a9-4e6a-aaca-22b8cc8f586a\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">Criteria for Evaluation<\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"3c86f299-e9a9-4e6a-aaca-22b8cc8f586a\">\n<p>Proposals are evaluated based on the following criteria:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Impact of the work on the applicant\u2019s scholarly\/creative achievement, teaching, or governance &amp; engagement<\/li>\n\n\n\n<li>Clarity and feasibility of proposed work (who, what, where, when, how) and of expected outcomes (i.e. bringing the work to fruition or laying the groundwork for an external funding proposal)<\/li>\n\n\n\n<li>Detailed evidence of clear, responsible budgeting (i.e. supporting documentation including quotes, contracts, and email agreements from providers or collaborators)<\/li>\n\n\n\n<li>Productive and responsible use of prior BFDF awards, including completed reports from prior awards<\/li>\n<\/ul>\n\n\n\n<p>When funds are limited, preference is given to tenure-track or tenured faculty or long-term lecturers and to faculty who have not received prior funds from the BFDF.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"9ae0938c-4e68-4231-af14-fd0793d987d9\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">Proposal Structure<\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"9ae0938c-4e68-4231-af14-fd0793d987d9\">\n<p><i><span style=\"font-weight: 400;\">Section 1, Summary<\/span><\/i><span style=\"font-weight: 400;\">: Title and a summary of no more than 150 words.<\/span><\/p>\n\n\n\n<p><i><span style=\"font-weight: 400;\">Section 2, Impact<\/span><\/i><span style=\"font-weight: 400;\">: <\/span>One page, describing how the work impacts your scholarly\/creative&nbsp;achievement, teaching, or&nbsp;governance&nbsp;&amp; engagement. This impact statement should have a clear narrative thread that provides a uniting rationale for all of the activities being proposed in the application<\/p>\n\n\n\n<p><i><span style=\"font-weight: 400;\">Section 3, Plan<\/span><\/i><span style=\"font-weight: 400;\">: One to two pages, describing specific outcomes and a timeline and work plan for achieving those outco<\/span><span style=\"font-weight: 400;\">mes. This narrative should also address attempts to secure other sources of funding for the project.<\/span><\/p>\n\n\n\n<p><i><span style=\"font-weight: 400;\">Section 4, Budget<\/span><\/i><span style=\"font-weight: 400;\">: A detailed budget, followed by screenshots or formal quotes for planned expenses. Please carefully read the information below on Budgets and Allowable Expenses.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">The submission form also collects information on project start date and end dates (used to establish and terminate grant accounts) and information about the nature of the project (used in assigning awards to specific source funds). For faculty whose contracts at Bates have fixed end dates, note that the project end date for a BFDF award must be at least 30 days before the end of employment, to allow a final 30-day window for BFDF accounting and report submission.<\/span><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"fb443bb8-788a-43b6-a6f6-03fa11ef0233\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">Budgets and Allowable Expenses<\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"fb443bb8-788a-43b6-a6f6-03fa11ef0233\">\n<p><span style=\"font-weight: 400;\">All budget items require screenshots or formal quotes for planned expenses.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Faculty with start-up funds must use those funds before applying for BFDF funding.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Faculty members applying to the BFDF to support travel to professional meetings above and beyond the funds available through their annual travel allocation must present a compelling argument in their proposal that attendance at an additional meeting is beneficial to their professional development or scholarly work. In general, the BFDF will not support travel to more than two additional professional conferences per year.<\/span><\/p>\n\n\n\n<p><strong>Allowable expenses:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Travel for research, curriculum development, or academic meetings (air and ground travel, lodging, meals, registrations, admissions, etc.) <\/span><b>See note above about limits on conference travel.<\/b><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Research materials (books, datasets, scores, assessment tests, microforms, electronic resources, etc.)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Communication (phone, fax, mail, subject\/consultant reimbursement, etc.)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Laboratory research (supplies, instruments, consumables, analytical services, and testing)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Technology (computer software and hardware, digital cameras, video equipment, tape recorders, etc.)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Supplies and materials for artistic work (visual and performing arts)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Performance costs (fees for professional actors or musicians, instruments, staging, space rental, etc.)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Publication costs (typing, editing, graphics, transcriptions, indexing, illustrations, reproduction fees, subvention fees<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Tuition\/fees for postdoctoral education programs<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Student or staff assistants (research, curriculum development, or editorial assistants)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Matching funds for extramural grants, where required<\/span><\/li>\n<\/ul>\n\n\n\n<p><strong>BFDF grants do NOT support:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Faculty salaries or stipends<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Regular living expenses during a leave<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Professional memberships<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Travel or living expenses for family members<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Personal gear (clothing, medicines, personal items)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Computer equipment or digital production equipment that can be borrowed from ILS or the Digital Media Studies loaner pool<\/span><\/li>\n<\/ul>\n\n\n\n<p><span style=\"font-weight: 400;\">When awarding funds to support publications, please note that when faculty at Bates co-author with faculty elsewhere, we expect the publication costs to be shared among the co-authors.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">If you are publishing a book, and the publisher requests a subvention fee, please discuss that request with Don Dearborn<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Please see the FAQs for the following topics, among other useful details:<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Travel with family members, including budgeting for such travel<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Travel by non-Bates individuals<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Reimbursement limits for food during travel<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Budgeting for travel by car<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Reimbursement for already-incurred expenses<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Changes in costs or plans between proposal submission and the actual expenditure<\/span><\/li>\n<\/ul>\n\n\n\n<p><span style=\"font-size: revert; color: initial; font-family: var(--fontSansSerif);\">As with external grants, any equipment, books, or supplies purchased with BFDF funds become \u2013 and remain \u2013 the property of the college. If your Bates employment ends, please work with Jason Scheideman to ensure that those items are available for future use by Bates.<\/span><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"e8be31c1-fe4b-4e76-8aa7-cd13a1b8ad53\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">Using the Funds<\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"e8be31c1-fe4b-4e76-8aa7-cd13a1b8ad53\">\n<p><span style=\"font-weight: 400;\">Funds can be used only during the period of the grant (i.e., the start and end dates indicated on the application cover sheet).<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Faculty members with temporary appointments (or those who retire or leave the college for other reasons) are reminded that all expenditures must occur<\/span><span style=\"font-weight: 400;\"> by the project end date, which in turn must be at least 30 days before the end of employment to allow a final 30-day window for BFDF accounting and report submission. Receipts must be submitted promptly to ensure that reimbursement can occur while still an employee.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Funds can be accessed per <\/span><a href=\"https:\/\/www.bates.edu\/accounting\/\"><span style=\"font-weight: 400;\">Accounting policies<\/span><\/a><span style=\"font-weight: 400;\"> through (1) <\/span><a href=\"https:\/\/www.bates.edu\/accounting\/cashiering-2\/reimbursement-requests\/\"><span style=\"font-weight: 400;\">reimbursement<\/span><\/a><span style=\"font-weight: 400;\"> upon submission of original receipts; (2) <\/span><a href=\"https:\/\/www.bates.edu\/accounting\/travel-and-expense-2\/travel-policy\/travel-advances\/\"><span style=\"font-weight: 400;\">travel advances<\/span><\/a><span style=\"font-weight: 400;\">, including subsequent reconciliation with receipts; (3) direct <\/span><a href=\"https:\/\/www.bates.edu\/accounting\/accounts-payable-2\/\"><span style=\"font-weight: 400;\">payment of invoices<\/span><\/a><span style=\"font-weight: 400;\"> from vendors or outside contractors.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Faculty members who receive BFDF awards to conduct work as part of a leave and then do not go on leave will have their BFDF awards rescinded.<\/span><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"65218631-4fdb-4f19-8f62-8f3425a85dcb\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">End of Grant and Reporting Obligations <\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"65218631-4fdb-4f19-8f62-8f3425a85dcb\">\n<p><span style=\"font-weight: 400;\">Any funds remaining at the end of the grant period are returned to the Bates Faculty Development Fund.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Faculty members must submit a one page final report that describes the work accomplished and that includes an accounting of expenditures in alignment with the proposal\u2019s budget.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">The report is due in PDF format to the Office of the Dean of the Faculty (<\/span><b><a href=\"mailto:facgrantreports@bates.edu\">facgrantreports@bates.edu<\/a><\/b><span style=\"font-weight: 400;\">) within 60 days of the end of the grant period as indicated on the application cover sheet or by the end of employment at Bates, whichever comes first. For example, the budget for a rental car should be based on an economy car, even if a larger vehicle is needed for family. Please refer to the Student Employment Office website for information about&nbsp;<a href=\"https:\/\/www.bates.edu\/student-employment\/for-supervisors\/policies\/how-many-hours-may-a-student-work\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>how many hours per week<\/strong><\/a>&nbsp;a student is allowed to work and&nbsp;<a href=\"https:\/\/www.bates.edu\/student-employment\/student-employment-handbook\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>what hourly wage<\/strong><\/a>&nbsp;they are paid. <strong>If you are budgeting for student hourly work during the summer, you also need to include a fringe charge of 7.5% of the total wages, to cover the FICA and Medicare charges. In contrast, budgeting for student hourly work during the academic year requires only the hourly wage.<\/strong><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"8a11d823-50c9-4c5a-ac46-e09581db13a4\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">What are the reimbursement limits for food during travel?<\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"8a11d823-50c9-4c5a-ac46-e09581db13a4\">\n<p>There are two different daily limits on how much can be reimbursed for meals during travel \u2013 a higher value that requires receipt submission, and a lower value that does not require receipts.
