{"id":8178,"date":"2015-09-10T15:38:13","date_gmt":"2015-09-10T19:38:13","guid":{"rendered":"https:\/\/www.bates.edu\/dof\/?page_id=8178"},"modified":"2023-04-28T11:25:14","modified_gmt":"2023-04-28T15:25:14","slug":"aaa-guidelines","status":"publish","type":"page","link":"https:\/\/www.bates.edu\/dof\/about\/aaa\/aaa-guidelines\/","title":{"rendered":"AAA Guidelines"},"content":{"rendered":"<p><strong>What is a &#8220;triple A&#8221;?<\/strong><\/p>\n<p>AAA&#8217;s are Academic Administrative Assistants who provide professional, administrative support to individual faculty and the departments\/programs. <strong>They are the College&#8217;s most valuable resource made available to faculty.<\/strong><\/p>\n<p>There are AAA&#8217;s housed within the academic buildings of Carnegie, Hathorn, Hedge, Olin, Pettengill (3), Pettigrew, Roger Williams. For a listing of who supports which department\/program, <strong><a href=\"https:\/\/www.bates.edu\/dof\/aaa\/\">click here<\/a>.<\/strong><\/p>\n<p><strong>What can an Academic Administrative Assistant do for you?<\/strong><\/p>\n<p><strong><em>\u00a0Manage the daily operations of the office<\/em><\/strong><\/p>\n<ul>\n<li>overseeing inventory of supplies and equipment<\/li>\n<li>troubleshooting issues related to classrooms and equipment<\/li>\n<li>answering faculty and student questions<\/li>\n<li>handling announcements, mailings, correspondence<\/li>\n<\/ul>\n<p><strong><em><br \/>\nAssist with faculty coursework<\/em><\/strong><\/p>\n<ul>\n<li>formatting and printing of exams, syllabi, handouts, etc.<\/li>\n<li>placing course items on Lyceum<\/li>\n<li>exam collection and time stamping<\/li>\n<\/ul>\n<p><strong><br \/>\n<\/strong><strong><em>Provide Departmental and Committee Support<\/em><\/strong><\/p>\n<ul>\n<li>assisting with visits related to candidate recruitment<\/li>\n<li>monitoring appropriate departmental budget lines<\/li>\n<li>maintaining department\/program webpages<\/li>\n<li>maintaining appropriate files<\/li>\n<\/ul>\n<p><em><strong><br \/>\nAssist with events<\/strong><\/em><\/p>\n<ul>\n<li>scheduling meetings, conferences, symposia, poster sessions, etc.<\/li>\n<li>arranging invitations, announcements, travel and catering details, room reservations, and other relevant details related to the event<\/li>\n<\/ul>\n<p><em><strong>Oversee student workers (in some cases)<\/strong><\/em><\/p>\n<ul>\n<li><em>\u00a0<\/em>interviewing, training, scheduling, and supervising student workers<\/li>\n<\/ul>\n<p><em><strong>Assist faculty with scholarship projects<\/strong><\/em><\/p>\n<ul>\n<li>scanning and copying of manuscripts, grant proposals, book chapters, etc.<\/li>\n<li>assisting with travel expense reports and grant proposals<\/li>\n<li>updating and formatting a curriculum vitae<\/li>\n<\/ul>\n<p><em><strong>Offer good cheer, a warm, friendly environment, and unwavering support!<\/strong><\/em><\/p>\n<p><strong><em>What AAA&#8217;s should NOT be doing for you\u2026<\/em><\/strong><\/p>\n<ul>\n<li>Copying entire books and other course materials, such as DVDs or CDs. (There are laws about this! Check out the policy here: <strong><a href=\"https:\/\/www.bates.edu\/ils\/policies\/access-use\/copyright\/\">bates.edu\/ils\/policies\/access-use\/copyright\/<\/a><\/strong>)<\/li>\n<li>Giving tours to potential department or program candidates or bringing candidates to their meetings during interview days<\/li>\n<li>Running errands for a faculty member that are of a personal nature (think dry cleaning, dog walking, grocery shopping, etc.)<\/li>\n<li>Checking out library materials for a faculty member under the AAA&#8217;s own BatesId<\/li>\n<li>Proctoring exams for students<\/li>\n<li>Photocopying or maintaining a faculty member&#8217;s personal documents or information<\/li>\n<\/ul>\n<p><strong><em>How to maximize use of your AAA\u2026<\/em><\/strong><\/p>\n<ul>\n<li>Effective and clear communication between the faculty member and the AAA is the key to a successful relationship.<\/li>\n<\/ul>\n<ul>\n<li>Be mindful of everyone a AAA supports. Don&#8217;t monopolize the AAA&#8217;s time with unreasonable expectations. They support many faculty members in multiple capacities.<\/li>\n<\/ul>\n<ul>\n<li>Be respectful and appropriate with your requests and their timing. As stated above, the AAA&#8217;s are the College&#8217;s most valuable resource available to the faculty. They work for the Dean of the Faculty&#8217;s Office, and we are happy to step in should there be questions about the feasibility or appropriateness of a task.<\/li>\n<\/ul>\n<ul>\n<li>Be clear in your expectations and your priorities.
