{"id":3633,"date":"2026-05-15T14:54:32","date_gmt":"2026-05-15T18:54:32","guid":{"rendered":"https:\/\/www.bates.edu\/grants\/?page_id=3633"},"modified":"2026-05-15T15:02:07","modified_gmt":"2026-05-15T19:02:07","slug":"inbre-student-umbrella-data-management-plan","status":"publish","type":"page","link":"https:\/\/www.bates.edu\/grants\/inbre-student-umbrella-data-management-plan\/","title":{"rendered":"INBRE Student Umbrella Data Management Plan"},"content":{"rendered":"\n<h1 class=\"wp-block-heading\">Relevant policies and resources<\/h1>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/www.bates.edu\/ils\/policies\/access-use\/research-data-management-policy-2\/\">Bates College Research Data Management Policy<\/a><\/li>\n\n\n\n<li>NIH <a href=\"https:\/\/grants.nih.gov\/grants\/guide\/notice-files\/NOT-OD-21-013.html\">NOT-OD-21-013<\/a> &#8211; Final NIH Policy for Data Management and Sharing<\/li>\n\n\n\n<li>Mount Desert Island Biological Labs INBRE award DMP (Appendix A)<\/li>\n\n\n\n<li>Bates <a href=\"https:\/\/www.bates.edu\/research-resources\/bates-dmp-worksheet-form\">DMP Worksheet<\/a><\/li>\n\n\n\n<li>NIH DMSP template (Appendix B)<\/li>\n\n\n\n<li>Bates INBRE Data Management <a href=\"https:\/\/forms.gle\/PYmpTewguihHy2XZ9\">Reporting Form<\/a> (Question preview &#8211; Appendix C)<\/li>\n<\/ul>\n\n\n\n<h1 class=\"wp-block-heading\">Overview<\/h1>\n\n\n\n<p>All externally funded researchers must follow the Bates Research Data Management <a href=\"https:\/\/www.bates.edu\/ils\/policies\/access-use\/research-data-management-policy-2\/\">Policy<\/a>.&nbsp; This umbrella Data Management Plan (uDMP) for Bates College INBRE-supported students addresses this requirement.&nbsp;&nbsp;<\/p>\n\n\n\n<p>For this Policy, \u201cdata\u201d is all information in whatever form (e.g., both physical and electronic) collected, generated, and\/or derived from existing data sources in the course of research conducted at Bates, under the auspices of the Bates, or with Bates resources. This includes original and derivatives of research data, including recordings of such data.<\/p>\n\n\n\n<p>Student Trainee Data:&nbsp; The primary purpose of Bates Maine IDeA Networks of Biomedical Research Excellence (INBRE) funding for student researchers is to promote biomedical research in the State of Maine, while also supporting undergraduate training.&nbsp; Student trainee data are data, metadata, software, code, and physical samples that are generated as part of student training activities and whose sole use is student education and training.&nbsp; This uDMP serves as a general and sufficient structure applicable to data collected by students and their supervisors (hereafter \u201cstudent trainee data&#8221;) that results from training activities conducted on Bates campus with Bates INBRE student research funds.&nbsp; Student trainee data are not subject to NIH data retention requirements.<\/p>\n\n\n\n<p>Research Data: Per Bates Policy and the purposes of this uDMP, student trainee data is distinguished from research data. &nbsp; If data generated by Bates INBRE-supported students are part of faculty research projects and\/or are included in publications, they are scientific research data (hereafter \u201cresearch data\u201d).&nbsp; The National Institutes of Health (NIH) require that all research data generated with funds from NIH:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>must <\/strong>be maintained for at least 3 years after the submission of the final financial report<\/li>\n\n\n\n<li><strong>should<\/strong> be made accessible (shared) as soon as possible, and <strong>must<\/strong> be made accessible (shared) no later than the time of an associated publication, or the end of the Bates INBRE award, whichever comes first.<\/li>\n<\/ul>\n\n\n\n<p>Bates College and its researchers have a responsibility to ensure proper management of all research data to enable appropriate retention and sharing.&nbsp; To this end and per the Bates College Research Data Management Policy, <strong>any <\/strong><strong>research data<\/strong><strong> generated by INBRE-supported students must be managed with a PI-led project-specific data management plan.<\/strong>&nbsp;&nbsp;<\/p>\n\n\n\n<p>The INBRE Data Management <a href=\"https:\/\/forms.gle\/PYmpTewguihHy2XZ9\">reporting form<\/a> will serve as the central organization point to ensure appropriate communication of data management needs to Information and Library Services (ILS) and the Office of Research and Sponsored Programs (ORSP).&nbsp;&nbsp;<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Applicability<\/h1>\n\n\n\n<p>For the sake of this uDMP, data sharing and retention <em>requirements<\/em> are applicable to any data that will be published. &nbsp; Not all data generated by INBRE-supported trainees will meet this threshold.&nbsp; However,&nbsp; it is not always possible to predict which data will end up being published and\/or shared.&nbsp; As such, PIs\/Faculty mentors are strongly encouraged to include instruction in good data management practices as part of their students\u2019 training.&nbsp; All PIs\/Faculty mentors and students are welcomed and encouraged to complete the <a href=\"https:\/\/www.bates.edu\/research-resources\/bates-dmp-worksheet-form\">DMP Worksheet<\/a> to generate a project-specific DMP for their work.<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Responsibilities<\/h1>\n\n\n\n<p><strong>Faculty Mentor<\/strong> &#8211; Each faculty mentor of an INBRE-supported student is responsible for ensuring that the INBRE Data Management reporting form is completed at the end of the period of INBRE support for each INBRE-supported student working in their lab<\/p>\n\n\n\n<p><strong>Student Trainee\/Researcher<\/strong> &#8211; INBRE-supported students are responsible for following the data management protocols of their PI\u2019s laboratory and\/or this uDMP for any data they generate.<\/p>\n\n\n\n<p><strong>Primary Investigator<\/strong> &#8211; The primary investigator (PI) of any lab conducting INBRE-funded research is responsible for ensuring proper management of any scientific research data generated by the lab.&nbsp;&nbsp;<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Student Trainee Data Management<\/h1>\n\n\n\n<p>Before initiating their research, faculty mentors and students are encouraged (but not required) to complete and submit a <a href=\"https:\/\/www.bates.edu\/research-resources\/bates-dmp-worksheet-form\">DMP worksheet<\/a> specific to their project to describe the data, metadata, software, code, and physical samples they will generate, where it will be stored, and how it will be stored.&nbsp; Alternatively, researchers can complete a DMP template (<a href=\"https:\/\/docs.google.com\/document\/d\/1q3grpOvMq8JNr6vxVxHUnRg53I7gWBLrfbRFQeSqy3w\/edit?tab=t.0#heading=h.dn03i44siwcc\">Appendix B<\/a>) and email it to ILS (<a href=\"mailto:pschlax@bates.edu\">pschlax2@bates.edu<\/a>) and ORSP (<a href=\"mailto:orsp@bates.edu\">orsp@bates.edu<\/a>).&nbsp;&nbsp;<\/p>\n\n\n\n<p>At the completion of INBRE summer support, the Faculty mentor and\/or student <strong>must<\/strong> complete the INBRE Data Management reporting form. (See <a href=\"https:\/\/docs.google.com\/document\/d\/1q3grpOvMq8JNr6vxVxHUnRg53I7gWBLrfbRFQeSqy3w\/edit?tab=t.0#heading=h.rrsd5wsh2a9u\">Appendix C<\/a> for a preview of the form\u2019s questions.)&nbsp; The Faculty mentor\/student will identify whether any of their data may qualify as research data and identify the project-specific DMP these data will be subject to following completion of the summer training period.&nbsp;&nbsp;&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Types, Amounts, and Standard of Data, Tools, Software, and\/or Code<\/h2>\n\n\n\n<p>The types, amounts, and standards of data, metadata, software, and code to be generated by INBRE-supported trainees will vary by project.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Storage<\/h2>\n\n\n\n<p>The following are recommendations for good data storage practices.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Electronic data should be stored in locations with regular automatic backup (e.g., shared Google Drive*,&nbsp; <a href=\"https:\/\/www.bates.edu\/research-resources\/etna\/\">ETNA<\/a>, etc).&nbsp;&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>As one option for data storage, ORSP\/ILS will create a shared Google Drive for INBRE-supported student trainee data with subfolders for each Faculty mentor\/student.&nbsp; Alternatively, faculty mentors\/students may elect to store trainee data in other locations, including in locations that are managed according to a project-specific DMP for research data.<\/p>\n\n\n\n<p>*A shared Google Drive folder is differentiated from a MyDrive storage account, as any MyDrive directories and\/or files owned by Bates affiliates are deleted when the owner leaves, regardless of whether the folder has been shared.&nbsp; ILS and ORSP strongly advise against storing data in a MyDrive folder.&nbsp;&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Code should be stored in locations with regular automatic backup (e.g., GitHub).&nbsp;&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Faculty mentors\/students are encouraged to carefully consider the storage location of any code developed during their traineeship to ensure it is secure, backed up, and accessible to the necessary individuals for the required time.&nbsp;&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Physical data, such as samples or specimens, should be stored in laboratories to which access is electronically restricted.&nbsp; Only individuals with Bates ID cards are able to access Bates buildings, and access to specific laboratories is restricted to individuals with explicit permission to enter (the PI, undergraduate research students, staff directly associated with the PI\u2019s projects, and essential Bates College staff).&nbsp;&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Note for data that are to be published or shared (ie, research data): All research data subject to the retention and sharing requirements of the INBRE award <strong>must<\/strong> be maintained in locations that meet the above recommendations and that are secure and accessible to the researcher, PI, and appropriate Bates personnel (e.g. ILS).&nbsp; If code is stored in a location that is not openly accessible and the data are to be published or shared, ILS must be granted access permissions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Access and Sharing<\/h2>\n\n\n\n<p>ORSP\/ILS will add access permission to the appropriate INBRE shared Google Drive subfolder for INBRE-supported student researchers and Faculty mentors.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Each PI\/Faculty mentor will have manager level access to their own subfolder within the shared Google Drive and will have the ability to add or remove access for collaborators and students.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Timeline of Access and Preservation<\/h2>\n\n\n\n<p>To enable INBRE-supported students to use the results of their training experience to support senior thesis work, etc, the contents of the INBRE shared Google Drive will be maintained until the end of the academic year following the summer during which INBRE-supported research occurs, after which it will be deleted.&nbsp; (For example, the INBRE Summer 2026 shared folder will be deleted in June, 2027).&nbsp;&nbsp;<\/p>\n\n\n\n<p>Faculty mentors\/students wishing to retain trainee data for longer than the academic year subsequent to the summer of INBRE support should transfer the data to alternative locations.&nbsp; ILS is available for consultation to identify appropriate storage locations.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Oversight of Data Management and Sharing<\/h2>\n\n\n\n<p>Oversight of data management is the responsibility of the Faculty mentor, who ensures proper management of data on a continuous basis from the time of data creation\/collection in keeping with the approved project-specific DMP and\/or standard practices in the lab.&nbsp; A review of data generated, stored, and shared is conducted by the Faculty mentor\/student in collaboration with the Office of Sponsored Programs and Research Compliance and Information and Library Services via completion of the INBRE Data Management reporting form at the completion of the summer of INBRE support.&nbsp; In addition, the Bates INBRE Data Science Working Group representative (Jason Castro) is available for consultation and assistance with data management and will conduct semi-annual reviews of adherence to this uDMP and project-specific DMPs generated by INBRE-supported researchers.&nbsp;&nbsp;<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Research Data&nbsp;&nbsp;&nbsp;<\/h1>\n\n\n\n<p>Per Bates policy, any research data generated with external funding support must be managed according to a project-specific DMP. &nbsp; The faculty mentor will be considered the Primary Investigator (PI) of all research data.&nbsp; The PI may choose to manage research data according to an existing DMP for their lab or to complete and submit a <a href=\"https:\/\/www.bates.edu\/research-resources\/bates-dmp-worksheet-form\">DMP worksheet<\/a> to generate a project-specific DMP.&nbsp; At the completion of INBRE summer support, the PI will identify the project-specific DMP according to which the research data are managed on the INBRE Data Management reporting form.&nbsp;&nbsp;&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-bates-shortcodes-btn btn-wrap\"><div class=\"btn-action\" role=\"button\" tabindex=\"0\" aria-controls=\"5a1dbc33-631a-41a0-aac4-b31ab311ee27\" aria-pressed=\"false\" aria-expanded=\"false\"><h3 class=\"btn-title\">Appendix A &#8211; MDIBL INBRE DMP<\/h3><div class=\"btn-arrow\"><\/div><\/div><div class=\"btn-content\" id=\"5a1dbc33-631a-41a0-aac4-b31ab311ee27\">\n<p><strong>Introductory Explanation&nbsp;<\/strong><\/p>\n\n\n\n<p>Maine INBRE (ME-INBRE) is a networking and institutional development research program that will support&nbsp; research involving multiple kinds of data that will be generated by projects managed by the Developmental&nbsp; Research Project Program (DRPP) and the Student Research Program (SRP). Those as-yet undefined projects will be conceived and initiated during the course of the funding cycle, so we cannot identify the specific&nbsp; types of data that will be generated. As described in the main body of this proposal, each supported project will&nbsp; be required to work with ME-INBRE Data Science Core (DSC) personnel to craft a project-specific Data&nbsp; Management and Sharing Plan. DSC Personnel will oversee and provide necessary tools, knowledge, and&nbsp; support to ensure that all data is managed appropriately.&nbsp;<\/p>\n\n\n\n<p><strong>Element 1: Data Type&nbsp;<\/strong><\/p>\n\n\n\n<p><strong>A. Types and amount of scientific data expected to be generated in the project: <\/strong>The exact type and amount of data collected will be determined by the individual DRPP awardees and&nbsp; the preceptors in the SRP. The most likely data types include sequence data, qPCR, proteomics, and&nbsp; image data, as well as observational and phenotypic data.&nbsp;&nbsp;<\/p>\n\n\n\n<p><strong>B. Scientific data that will be preserved and shared, and the rationale for doing so: <\/strong>We will require that all DRPP and SRP projects preserve and share any and all data that would be&nbsp; necessary for a reanalysis or evaluation of the experimental findings.&nbsp;<\/p>\n\n\n\n<p><strong>C. Metadata, other relevant data, and associated documentation:&nbsp;<\/strong><\/p>\n\n\n\n<p>We will require that DRPP and SRP projects follow FAIR principles in the identification, collection, and&nbsp; preservation of all metadata. Project, study, sample, experimental, and file level metadata for all&nbsp; genome-scale data sets will be collected and deposited along with data at appropriate repositories&nbsp; (e.g., GEO and SRA for expression or sequence data).&nbsp;&nbsp;<\/p>\n\n\n\n<p>Detailed study and protocol metadata and documentation will be required as part of the final reports&nbsp; associated with completion of the sub-project and will be stored in the ME-INBRE github repository.&nbsp;<\/p>\n\n\n\n<p><strong>Element 2: Related Tools, Software and\/or Code:&nbsp;<\/strong><\/p>\n\n\n\n<p>We will require that any novel software, pipelines, or other analysis scripts supported in sub-projects be&nbsp; shared under an open-access license for academic use. If the project awardee has their own &nbsp;repository, it can be shared in that context. If needed, the ME-INBRE repository will be used to &nbsp;preserve and share.&nbsp;<\/p>\n\n\n\n<p><strong>Element 3: Standards:&nbsp;<\/strong><\/p>\n\n\n\n<p>We will require that all DRPP awardees and SRP preceptors use community standards in reporting of &nbsp;data and metadata. Appropriate metadata and ontology standards will be drawn from resources such as &nbsp;the Open Biological and Biomedical Ontologies (OBO) and FAIRsharing.org resources. DSC personnel &nbsp;will provide resources and assistance to sub-project leaders to identify and implement the appropriate &nbsp;standards.&nbsp;<\/p>\n\n\n\n<p><strong>Element 4: Data Preservation, Access, and Associated Timelines&nbsp;<\/strong><\/p>\n\n\n\n<p><strong>A. Repository where scientific data and metadata will be archived:<\/strong><\/p>\n\n\n\n<p>OMB No. 0925-0001 and 0925-0002 <em>(Rev. 07\/2022 Approved Through TBD)&nbsp;<\/em><\/p>\n\n\n\n<p>Appropriate public repositories will be identified for all data generated by DRPP and SRP sub-project &nbsp;awardees, and will be specified in DMS Plans included in the applications for DRPP funding. For &nbsp;example, any high-throughput expression or epigenetic data will be shared through NIH\/GEO, with &nbsp;underlying raw sequence data submitted to NIH\/SRA. The exact repository will be determined and &nbsp;agreed upon by project leaders and ME-INBRE DRPP and DSC leadership at the initiation of the &nbsp;award.&nbsp;<\/p>\n\n\n\n<p><strong>B. How scientific data will be findable and identifiable:&nbsp;<\/strong><\/p>\n\n\n\n<p>We will require that all data generated by the DRPP and SRP be archived with public-accessible&nbsp; resources that provide unique persistent identifiers. For example, expression or similar genome-scale&nbsp; data will be findable through GEO accession numbers, and raw sequence by SRA accession numbers. &nbsp;<\/p>\n\n\n\n<p><strong>C. When and how long the scientific data will be made available:&nbsp;&nbsp;<\/strong><\/p>\n\n\n\n<p>We will require that all data generated by the DRPP and SRP be made available at either publication&nbsp; date of any manuscript that uses this data or the end of the ME-INBRE funding cycle. &nbsp;<\/p>\n\n\n\n<p>All such data will be required to be submitted to resources that are expected to be available without &nbsp;restriction for at least 10+ years, and ideally in perpetuity.&nbsp;<\/p>\n\n\n\n<p><strong>Element 5: Access, Distribution, or Reuse Considerations&nbsp;<\/strong><\/p>\n\n\n\n<p><strong>A. Factors affecting subsequent access, distribution, or reuse of scientific data: <\/strong>There are no restrictions on subsequent access, distribution, or reuse of the scientific data from any&nbsp; research supported by ME-INBRE.&nbsp;<\/p>\n\n\n\n<p><strong>B. Whether access to scientific data will be controlled:&nbsp;<\/strong><\/p>\n\n\n\n<p>Data will be required to be open-access and available publicly.&nbsp;<\/p>\n\n\n\n<p><strong>C. Protections for privacy, rights, and confidentiality of human research participants: <\/strong>This will be determined on a sub-project basis. We expect that for most if not all projects this will not be applicable due to absence of human research participants&nbsp;<\/p>\n\n\n\n<p><strong>Element 6: Oversight of Data Management and Sharing:&nbsp;<\/strong><\/p>\n\n\n\n<p>DSC co-directors Dr. Graber and Dr. King will oversee overall ME-INBRE adherence to the Data Management &nbsp;and Sharing (DMS) Plan. We will explicitly require that all DRPP investigators and SRP preceptors complete a &nbsp;project-specific DMS plan as part of the application process. DSC personnel will provide resources and advice &nbsp;<\/p>\n\n\n\n<p>to project leadership in the identification of appropriate tools, standards, and repositories for their data. &nbsp;Adherence to the DMS will be monitored by DSC personnel under the supervision of Dr. Graber at MDIBL, and &nbsp;will also rely upon contact through the Data Science Working Group (described in the DSC research plan), &nbsp;which has a representative at each ME-INBRE institution. For monitoring purposes, DSC personnel will keep &nbsp;an internal list of all DRPP and SRP sub-projects, and will perform semi-annual reviews of adherence to the &nbsp;DMS.
