How do I share my Bates G Suite Calendar with other individuals?

Sharing your Bates G Suite Calendar with another Individual:

Access Bates G Suite Calendar:

  • On your computer, login to your Bates Gmail account from a web browser.
  • On the top right, click on the application launcher box (3×3 grid), and then click on the Calendar icon.
  • A new tab will open with your Bates G Suite Calendar.

Accessing Bates G Suite Calendar Sharing Preferences:

  • In the left margin, find the My calendars section.
    • You might need to click on the down-arrow to the left of My calendars to expand this section if your calendar is not visible. 

  • Hover your mouse over the calendar name you want to share.
    • To the right of the calendar (your name) you want to share, click on the down-arrow.

  • Click on Share this Calendar.
  • Under the Share with specific people section, locate the Person column and enter the Bates email address of the individual you want to share your calendar with.
  • Locate the Permission Settings* column, and choose an access option from the drop-down menu. 
  • Click Add person.
  • Click Save. Your calendar access permissions will be updated and you will be returned to your calendar.

*Calendar Permissions:

  • Make changes AND manage sharingIndividuals can make changes to your calendar and share your calendar with other individuals.
    • Change your sharing settings.
    • Add, edit, and delete your events.
    • See the details for all of your events, including your private ones.
    • Permanently delete your calendar.
    • Restore or permanently delete your events from the calendar’s Trash.

  • Make changes to events Individuals can make changes to your calendar events and see the details of your events.
    • Add, edit, and delete your events.
    • See the details for all of your events, including your private ones.
    • Restore or permanently delete your events from the calendar’s Trash.

  • See all event detailsIndividuals can see your event details, but cannot make any changes to your calendar events.
    • See the details for all of your events except those you have marked as private.

  • See free/busy information (no details)Individuals cannot see the details of your events and cannot make any changes to your calendar or events.
    • See when your calendar is booked and when it has free time, but not the names or other details of your events.
