This page will share important housing and arrival information for fall 2021. While not exhaustive, we hope this page will answer some of your housing and arrival questions. Regular First-year Arrival: August 26

Sign-up for Your Arrival

The arrival day for the first-year class of 2025 will be on Thursday, August 26th between 8:00 AM and 2:00 PM. All first-year students arriving on August 26 need to sign up for an arrival time on the Garnet Gateway. When you get into the Garnet Gateway, you will see that your second action item is “Bates Campus Arrival & Testing.” You must complete this action item by August 15, 2021 to register for your arrival and testing time.

Regular Returning Student Arrival: August 29-31

Sign-up for Your Arrival

The arrival days for returning students will be on Sunday, August 29 to Tuesday, August 31, between 10:30AM and 7:00PM each day. All returning students arriving on August 29-31 need to sign up for an arrival time on the Garnet Gateway. When you get into the Garnet Gateway, you will see that your second action item is “Bates Campus Arrival & Testing.” You must complete this action item by August 15, 2021 to register for your arrival and testing time.

Generally, all first-year students should plan on arriving on August 26 and all upperclass students should plan to arrive August 29 – 31. There are some groups that will arrive on different dates, including orientation week student leaders, fall athletes, and international students that need to receive an FDA-approved vaccine ahead of the fall semester.

Students arriving on August 26 or August 29-31 should sign up for an arrival time on the Garnet Gateway. Students in groups listed above who are arriving outside the 26th and 29-31st should connect with their program contact about how their arrival testing is working into the training, orientation, or sports schedule.

In general, students who are not involved in a leadership position for orientation or on a fall athletic team are not allowed to arrive to campus ahead of their designated arrival date (August 26 for 2025 and transfers; August 29-31 for 2022, 2023, 2024) If you feel you have an exceptional circumstance to arrive on campus early, you may petition to arrive 24 hours earlier.

What to Know Before You Arrive

  • All students will undergo testing for COVID-19 at the Underhill Testing Center upon arrival on campus. Residence access will not be granted until this is complete. Results of campus testing will follow the college’s policies and protocols for Isolation and Contact Tracing.
    • All vehicles arriving to campus with students will be directed to the parking lot behind Merrill Gym and Underhill Arena to drop off students for testing. Family members and other visitors dropping off students must remain in their vehicles until students have completed their COVID-19 testing and check-in and are ready to go to their residences.
  • Prior to arrival testing and clearance, all students must put on a face covering. You will need to wear a face covering for at least the first hour you are on campus. This will give the COVID-19 Testing Center staff time to process your rapid antigen test results.
    • Students will receive both a rapid antigen test and a PCR test. No student will receive access to their housing before testing. Note that only students who test positive will be contacted with rapid antigen test results.
    • Please remember to bring a valid photo ID to the Testing Center — your Bates student ID is appropriate.
  • After being tested in Underhill, students will proceed to Merrill Gym, where ID cards will be activated and students will receive their room keys. Students may then proceed to their residence hall to move into their dorms.

Guest Arrival Requirements

All guests (family members, guardians, parents, etc.) coming to campus to assist a student with move-in must take one of the following actions prior to arriving on campus:

  • Be fully vaccinated for COVID-19.
    • Fully vaccinated means being two weeks past a second Pfizer-BioNTech or Moderna shot, or two weeks past a single Johnson & Johnson shot.
  • Test negative for COVID-19.
    • If you have not had access to one of the three U.S. vaccinations listed above because of residence abroad or other reasons, you must have proof of a negative COVID-19 PCR test within 72 hours prior to arrival on campus, or a negative COVID-19 antigen test within 24 hours prior to arrival on campus.
  • Be medically cleared of a recent COVID-19 diagnosis.
    • If you have tested positive for COVID-19, you must be medically cleared and at least 10 days from, and within 90 days of, the date and time that you tested positive or received your clinical diagnosis from a medical provider.

Guest Face Covering Policy

All guests must wear a face covering while indoors, including while helping a student move into their residence.

Guest Limited Time in Student Residence Halls

In addition, to de-densify the residences with visitors, we ask that all guests limit their time inside a student residence to one hour while their student is moving in. After this, we ask that guests leave the residence and enjoy time outdoors while on campus.

Mask’s Required at President’s Welcome

All attendees at the President’s Welcome at 3:15 pm on the Historic Quad must wear a face covering, regardless of vaccination status. 

Traveling to Bates

To assist students traveling by bus or plane, Campus Life has organized free shuttle buses from both the Portland Transportation Center and the Portland Jetport. Tickets are free, but you must reserve a seatPlease be sure to sign up for a shuttle that aligns with your arrival testing in Garnet Gateway.

If your plans change and you no longer need your shuttle seat, please cancel your ticket so someone else can take it if needed. If the time you are looking for is sold out, please join the waitlist! We will do our best to add space where there is a need.

Arrival Information for All Students

Arrival for the fall 2021 semester will occur on August 26 for the class of 2025, and August 29 – August 31 for the classes of 2024, 2023, and 2022.

The Testing Center will be open from 8:00am – 2:00pm on August 26 and from 10:30am – 7:00pm on August 29-31.

Students will need to return to campus during designated times. Once you know your travel plans, follow the instructions below to sign up for a time. If your plans change and you need to change your time, you can log into the system at any time until midnight on August 15 to switch your selection. If you have trouble signing up for an arrival time, email testingcenter@bates.edu for assistance.

Once your travel plans are confirmed, please use this process to sign up for your arrival time:

  1. Log into the Garnet Gateway.
  2. Under your to-do menu click on “Bates Campus Arrival & Testing”.
  3. From the list, find the time that best meets your needs and click “sign-up”.
  4. Your registration will be confirmed on the right of your screen under the “My Registered Events” section.

Upon arrival to campus, you will be welcomed, tested, and given access to your housing assignment. Once these tasks are completed, you will arrive at your residence hall and move in. 

It is essential that you arrive on campus at your designated day and time. This will ensure you are able to participate in required testing ahead of receiving access to your residence hall. Students must participate in testing immediately upon arriving on campus. Students who have not been tested will not be allowed access to residence halls.

Residence Access

Students will gain access to their residences only after the completion of their first COVID-19 test. All ID cards will be activated at Merrill Gym, during the arrival testing process.

Frequently Asked Questions

I’m arriving early. How do I sign up for arrival testing?

  • If you are a first-year student approved to arrive before August 26th or a returning student approved to arrive before August 29th, contact your program leader for more information about how to get tested upon arrival to campus.

My plane/train/bus/ride to campus will arrive after the Testing Center is closed. What should I do?

  • If at all possible, students should make every effort to arrive during testing center hours on designated arrival days. We understand that for some students, flight times or other travel restrictions will make this impossible. If you know you will have no choice but to arrive after testing center hours, please fill out this google form.
    • If you are unexpectedly delayed and arrive on campus after testing center hours, please report to the Campus Safety building for assistance. As a reminder, you must wear a face covering until you have been tested and cleared.

I cannot get to campus until after August 31 due to extenuating circumstances. What should I do?
