Updated Housing Selection: COVID-19

As we have all experienced over the past weeks, few things are unaffected or unchanged by the current situation surrounding COVID-19 and subsequent responses aimed at controlling the pandemic. The housing selection process for Groups of 3 and 4 (originally scheduled for Saturday, March 14) and the Doubles and Singles selection process (originally scheduled for Saturday, March 21) did not occur at those times.

This webpage is dedicated to those students (rising sophomores, juniors, and seniors) who will be studying on-campus in the fall semester and who have not selected a housing placement for next year. The processes will take place in the same order as previously intended. Groups of 3 and 4 will select first followed by Doubles and Singles the week of April 6, 2020. The information below reflects the updated selection timeline including application deadlines, selection start time releases, selection dates, and general information on how to form groups and select a space. Please read on for more information and, if you have a question this webpage cannot inform, please email Housing@bates.edu.

Revised: Remaining Room Selection

If you were unsuccessful in securing a room during any of the other housing processes, you will be able to participate in the Remaining Room Selection. If you selected a space in any other housing process, you are done with the room selection process and are not eligible. On April 13, 2020, any students who have not selected a room will be invited to participate in the Remaining Room process.

Any rooms that have not been selected previously will be included in this process. Students will be issued a list of the available rooms remaining. Students can then group themselves in any size group that matches a desired available room. Groups must be VERIFIED to be given a selection time.

Off-Campus Study & Housing Selection

Students who plan to study off-campus next semester are not eligible to select housing during the current housing selection process. Should plans change between now and then, students will be able to apply for housing over the summer. Assignments will be made via the summer placement process in August.

Withdrawn Students

For students who have completely withdrawn from off-campus study programs and have completed the withdrawal process in collaboration with the Office of Global Education, Residence Life is accepting applications to join the current housing selection process. Given the current timing of the housing selection process, those in this group will be eligible to join only the doubles/singles process.

Applications must be received by April 1st at 4:00 p.m. for participants to be added to the process.

Groups of 3 or 4 Selection Details

During the Groups of 3 and 4 housing selection, students will be able to sign into 3- or 4-person suites with their intended roommates. The room selection will occur online through the HouseCat portal and will be based on student’s HouseCat applications and group room selection starting time

Important: Prior to the group housing room selection, be certain that your roommate group is VERIFIED and is the same size as the type of group housing you intend to join (e.g.  three people for a 3-person suite).

Groups of 3 or 4 Selection

Room Selection Process
1. Group leader creates group and manages membership.

If an intended roommate has completed their application, the group leader can add them to the application.

If an intended roommate has not yet completed their application, that group member can add themselves to the group after they complete their application. Or, the intended roommates can add themselves to the group when they create their application. The group leader must share the group name and password to enter the group with their intended roommates so that they will be able to add themselves.

2. Group leader verifies the group.

As new members join, group leaders need to continually verify the group to be certain that membership is correct. If a group is not verified, the group leader will not be able to select housing during the room selection process.

3. Group receives lottery number and room selection time slot.

After all groups are verified and the application window closes, groups will receive their room selection time slot. Time slots will be generated by averaging the individual time slots of the group members.

4. Group selects housing during room selection time.

During their designated room selection time, the group leader (with consultation from group members) will select the group’s housing from available options on the HouseCat portal. It is the group leader’s responsibility to select housing for the group. If a group needs to change their group leader, they may do so in the same location where they manage group membership (HouseCat step 6). Groups will only to be able to select housing in spaces where their group size exactly matches the number of beds available.

Note: Housing selection is binding. Once you have confirmed your selection on the HouseCat portal, you will not be able to change your housing.

Frequently Asked Questions (Groups of 3 or 4)

What are the group sizes for Group Housing?
Only groups of 6, 4, or 3 students are part of Group Housing.

How are Group Housing selection times calculated?
Only 4-person and 3-person VERIFIED groups will be given a selection time on Monday, March 30 for the Tuesday, March 31 selection. Doubles and singles selection times will be released Friday, April 3 for the follow week’s selection process. Time slots are generated by averaging the individual time slots of the group members. Individual time slots are random by class year. **Only the group leader can select the space and assign beds.**

How do we actually pick a room online?
We highly suggest reading the “How to Select a Room” page for valuable information on applications and room selection. To watch a video showing you how to choose a suite or triple room, click here.

How long will my group have to select a space?
We want to provide each group with as much time to select their housing as possible. The time slot you are given is your START time. You can take as much time as you want, but please be advised groups will continue picking. Once you click into a room, you will have two minutes to confirm beds.

What if my group does not like any of the available options?
Your group is not required to select housing during your time slot. If you do not want to live in any of the available spaces, do not select a space. You can disband your group and select an alternate type of housing during the Block or General Room Selection.

What if there are no available spaces for a group of my size?
If there are no spaces left for a group of your size, you are able to disband your group, re-form, and join a new process to select a different type of space. This process must be managed via the roommate group area of the HouseCat Portal (step 6) and include all necessary steps from adding members to verification. To watch a video showing you how to manage and reform your roommate-group, click here.

Can I join another process if my group does not get a triple or a suite?
If you were unsuccessful in securing a suite or triple in Group Housing, you may regroup to be part of Doubles or Singles selection process. If you selected a space in Group Housing, you are done with the room selection process and are not eligible for any other process.

Doubles and Singles Selection Details

The room selection will occur online through the HouseCat portal and will be based on student’s HouseCat applications and group room selection starting time

Important: Students will only be able to choose from a selection of either doubles or singles (not both) depending on whether they are individual applicants or are part of a VERIFIED 2-person group.

Frequently Asked Questions (Doubles and Singles)

What are the group sizes for Doubles and Singles?

Only groups of two students can apply for a double. Students applying for Singles should not create a group. Only VERIFIED two-person groups will be given a Doubles selection time.

Can you participate in Doubles or Singles selection if you participated in another process?

If you were unsuccessful in securing a room in Group Housing and/or Block Housing, you may re-group  and re-verify to a group of two students for doubles (or no group for singles). If you selected a space in any other housing process, you are done with the room selection process and are not eligible for this process.

How are Doubles and Singles selection times calculated?

Selection times for both singles and doubles are random by class year. Those students involved in Doubles selection can only pick into doubles; students involved in Singles selection can only select single rooms. These two processes run concurrently on the same day. Those in Doubles room selection will each get an individual time and should make the group leader the student with the earlier time slot. Please see this video on changing the group leader.

How long will my group have to select a space?

We want to provide each group with as much time to select their housing as possible. The time slot you are given is your START time. You can take as much time as you want, but please be advised groups will continue picking. Once you click into a room, you will have two minutes to confirm beds.

How do I find out more information on available rooms?

Please take advantage of viewing floor plans online before logging in for room selection so that you are fully informed of your individual room options. Theme House designations are accurate.

  • View floorplans listed by residence name here (includes square footage).
  • You will need to enter your e-mail username and password to access online floor plans. You will be able to view each room’s square footage and the number of windows, as well as proximity to stairways, bathrooms, etc.

What if there are no available spaces when it is my turn to select?

If there are no spaces left in singles at your turn, you should connect with other students and wait for the Remaining Room process (to be scheduled). Remaining Rooms Available will be emailed to all students with an application, but without a housing assignment. This will initiate the Remaining Room process.

If after the Remaining Room process, you have not picked a space, you will be part of Summer Placement.
