Making Changes to Your Elections
Changes through the Garnet Gateway Online Enrollment:
First sign into the Garnet Gateway and access online enrollment from the Employee Menu.
Your 2019 medical, dental, vision and Hospital Indemnity plan elections will carry forward into 2020 or you may elect another option.
If you want to change plans you must first click on your current plan and then cancel that election.
Next, go to the plan you want and make your new medical plan election (note if you are switching to the HSA plan from the PPO or ACO and have previously either elected or opted out of the Hospital Indemnity Plan you will need to cancel the HIP election first to make the HSA plan available). For the Dental and Vision Plans, if you cover a domestic partner make sure you elect options (5) You & Domestic Partner or option (6) You, Partner & Child(ren) as applicable. If adding or deleting dependents make sure you elect the applicable level of coverage (1) You Only, (2) You & Spouse, (3) You & Child(ren), (4) You & Spouse & Child(ren), 5) You & Domestic Partner or option (6) You, Partner & Child(ren) and submit a completed Enrollment/Coverage Change Form via docusign to Human Resources.
If you are adding a dependent to your coverage in 2020 you will need to submit documentation that they are an eligible dependent. This documentation is typically a birth certificate for a child, marriage certificate if adding a spouse or a copy of your 2018 tax return identifying them as a dependent. You can find more details on who is an eligible dependent and required documentation on the Human Resources Website.
You also need to make an election each year to participate in the reimbursement accounts. Once you start your enrollment and make your medical plan election (note, it is recommended that you make your medical plan election first as that will affect what medical reimbursement accounts you may participate in) simply make your reimbursement account elections under the Healthcare and Dependent Care Reimbursement Account elections link. Remember to submit a completed Dependent Care Subsidy form to Human Resources if you are electing to contribute to the Dependent Care Account.
To add or delete a dependent from your medical, dental or vision plans elect the applicable level of coverage (1) You Only, (2) You & Spouse, (3) You & Child(ren), (4) You & Spouse & Child(ren), 5) You & Domestic Partner or option (6) You, Partner & Child(ren) and submit a completed Dependent Coverage Change Form to Human Resources.
If you have coverage now but are opting out of medical or dental in 2020 you will need to submit proof to Human Resources of the other coverage – typically an ID card or enrollment form.
If you want to change your life insurance elections you must do so by scheduling an appointment with Human Resources. Please contact Ken Emerson at x8271 or Brenda Sawyer at x6176.
I have listed below what is involved in making changes to your life insurance.
All existing levels of Life and Accidental Death & Dismemberment (AD&D) Insurance currently in force will be continued. However, for any changes, Aetna requires the amount of AD&D coverage you have (if any) to be equal to the amount of supplemental life insurance you have. Other than existing coverage in force, you cannot have AD&D coverage without supplemental life insurance and it must be in the same amount as your supplemental life insurance (supplemental spouse and dependent child coverage as well).
Existing Employees with coverage: Aetna will allow employees who have coverage to increase their current coverage by one increment (a salary multiple for employees and a $10,000 increment for spouses ) without medical evidence as long as the one increment increase doesn’t push them over the guarantee issue amount of the plan ($200,000 for employees and $30,000 for spouses). If it does, Evidence of Insurability would be needed for the amount over and above the guarantee issue.
Life Insurance: During the annual enrollment period you have the opportunity to increase or decrease your life insurance. If you increase your life insurance you will may to complete a Personal Health Statement (see above). Coverage would only be effective following Aetna’s approval. Aetna may request more information depending on the results of their review. If your supplemental life insurance increases, your supplemental AD&D coverage (if any) will increase accordingly.
Accidental Death & Dismemberment (AD&D): You can increase or decrease your AD&D coverage at Annual Enrollment without having to submit any health information. Note if electing to change your AD&D it must be equal to the amount of supplemental life you have elected.
Spouse/Partner Life and AD&D Insurance: Your spouse/partner Life Insurance Coverage cannot exceed 100% of your own supplemental life coverage. If you are applying for coverage for your spouse or partner for the first time or increasing their coverage they will need to submit a personal health statement. You must have some Supplemental Life Insurance coverage on yourself to cover your spouse/partner or child.
Your Spouse/partner AD&D coverage cannot exceed 100% of what you have on your self. Similar to your own coverage you can increase or decrease your Spouse/Partner AD&D Coverage without submitting any health information. Note if electing to change your Spouse AD&D it must be equal to the amount of spouse life you have elected. You must have some Supplemental AD&D Insurance on yourself to cover your spouse/partner.
Child(ren) Life and AD&D Coverage: You can increase your Child(ren) life coverage to $20,000 at any Annual Enrollment Period without submitting a Personal Health Statement. You must have some Supplemental Life Insurance Coverage on yourself to cover your child(ren).
You can increase or decrease your Child(ren) AD&D Insurance at any time without submitting any health information. Note if electing to change your Child(ren) AD&D it must be equal to the amount of Child(ren) life you have elected. You must have some Supplemental AD&D coverage on yourself to elect coverage for your child(ren).
