How do I prepare for a computer replacement?

The following FAQ has been prepared to assist you with the preparation and delivery of your new computer. Any of the steps you can complete beforehand will assist with the expediting and setup of your new computer to be a smooth process.

Plan to spend approximately 1-2 hours with a member of the IT Help Desk to deliver, setup, transfer files/documents and to verify your new computer. Once the verification process is completed, please contact the IT Help Desk with any follow-up issues or questions. 

Preparing for Your Replacement Computer –

Bates Files and Documents:

  • Delete any unnecessary files/documents
  • Relocate/Remove any Personal Files*
  • Delete any files/documents that are no longer needed from your Downloads folder
  • Empty your Trash/Recycling Bin
  • Centralize all of your Bates files/documents in one location, such as the My Documents/Documents folder on your computer
  • Clear your browser history/cache

Files/Documents on your Computer can be found in the following Folder Locations:

Microsoft Windows Computers:

  • Desktop
  • Documents
  • Music
  • Pictures
  • Videos

Mac OS Computers:

  • Desktop
  • Documents
  • Movies
  • Music
  • Pictures

Please review these locations and delete any unnecessary or duplicate files/documents. 

Specialized/Additional Software:
As part of our standard office computer deployment, your computer will arrive with a standard installation of software. If you require additional or specialized software be installed, please provide us with a list with your request. If you are requesting an application from the Adobe Suite, please be specific with the applications you require, such as Adobe Photoshop, Adobe InDesign, etc. If you use a laptop and need VPN access, please include that on your list of additional software required.

Browser Bookmarks:
Please let us know if you have any Web Browser Bookmarks/Favorites you need to have transferred. If you use Google Chrome, please login to your browser and synchronize your bookmarks

Preparing for Your Replacement Computer Delivery –

Delivery:
Once your newly delivered computer has been verified and that your files and applications have been properly restored, your old computer will be removed from your office and recycled appropriately. Your hard drive will be removed and stored in a secure location for three months and then will be destroyed. Once your hard drive has been destroyed, the data that existed on the hard drive is no longer recoverable.

Verification Process:

  • Successful Login
  • Internet Connectivity
  • Network Connectivity to Network/Departmental File Shares
  • Printing
  • Installation of Additional/Specalized Software
  • Reboot and Login

*Personal Files: 
We are not responsible for backing up or recovering any of your personal files, pictures, or music that are saved on your Bates issued computer. Please move these files to another form of storage, such as a personal G Suite Drive accounts, USB Memory Sick, or to an external/portable hard drive. Moving these files can help lessen the setup time of your new computer. We generally find personal files located on the Desktop of your computer, as well as files in your Music and Pictures folders.
