Poster Mechanics

Poster Presenters: Read these instructions to ensure your poster is ready for the Parents Weekend Poster Session! 

1. Poster size: Printed poster size should not be larger than 36″H x 48″W.  Posters must be horizontally oriented (landscape).

2. Credits: Remember to put your name (and any co-authors) on the front of your poster! Putting your discipline and your advisor’s name isn’t a bad idea either.

3. Bates logos and wordmark files for Posters in EPS and PNG format. Bates logos, or wordmarks, are available for download in EPS (for print) and PNG (for digital) formats. EPS is a vector format, you may scale the logos to any size you may require. 4. Acceptable file format: Your poster must be submitted as a .PDF file or Post & Print will not open the file. Beware that when you design a poster in InDesign, some fonts and formatting may not render in a PDF when viewed on a different computer. Once you have saved your poster file as a PDF, you should look at it on your own computer to make sure it looks OK.  For more Power Point Poster Printing Tips, scroll to the bottom of this page.

5. Naming convention. Please name your poster file with your Bates network username (underscore) your contact phone number (include area code if not 207): Example:   akeegan_7536952.pdf

6. File Submission: All files must be submitted electronically via emailSubmit to posterprinting@bates.edu by NOON on Tuesday, 3 October. The maximum file capacity is 20 megs. You are urged to submit your poster before this deadline as there is usually a backlog of submissions to Post & Print right at the last minute.

7. Printing deadline. If you are having your poster printed by Bates Post & Print on a wide-format printer, your poster must be submitted for printing no later than Tuesday, 3 October at noon. You are urged to submit your poster before this deadline as there is usually a backlog of submissions to Post & Print right at the last minute.

8. Payment: The Dean of the Faculty’s office  will pay for the cost of one poster per on-time registration and submission. The cost of additional copies must be covered by the student ($40/poster). Post & Print accepts cash and all major credit cards, cash, or check payment at Post & Print. Make checks payable to Bates College.

9.  Late submissions: If a poster file is submitted after the printing submission deadline, the          student is charged for the cost of the poster ($40) plus a late fee ($20) for a total of $60. So you want to avoid that! Just submit your file on time and get your poster for free!

10. Traditional posters are welcome: A traditional non-computer-generated poster (text and images glued to poster board) is a perfectly acceptable option. You may use one or two sheets of poster board (available in the Bookstore for about $.69) and attach your text sheets, maps, diagrams, photos, and other materials. This type of poster MUST be assembled before the poster session, not in the Perry Atrium the day of the poster session! We recommend that you make a traditional poster if you are making your poster after the large-format printing deadline of 3 October at noon.

11. Poster delivery: Unless you make specific arrangements, Post & Print will deliver your poster to Pettengill Hall the morning of the Poster Session. If you wish to see your poster in advance of the poster session, you can ask Post & Print staff to email you when the poster is ready. Posters that are not delivered by Post & Print should be delivered to the Reception Area in Pettengill by NOON on the day of the Poster Session. Your poster will be set up for you in advance.

12. Each Poster is Assigned to a Specific Backboard: Your poster assignment will be emailed to you in advance of the poster session.

13. Your role at the session. You are expected to remain at your poster and talk to visitors for the duration of your poster session (75 minutes).

14 After the poster session: You must take your poster with you at the end of your poster session.  We cannot be responsible for orphaned posters and will not hold or save any that are left behind.

Once your poster is set up at the poster session, you are now ready to share your research with many interested faculty and peers!
