Dance Festival: Administrative Assistant (S9906B)

Summary, Scope, and Responsibilities

During the fall, the Administrative Assistant to the Dance Festival helps with updating database mail lists, correspondence, and mass mailings. During the winter and spring registration period, the Administrative Assistant plays a vital role on the Bates Dance Festival team. The Assistant opens all incoming mail from potential students, reviews the applicants’ qualifications, and prepares applications for final review by the Registrar. Preparing applications for review includes organizing applicants’ supporting materials, checking for completion, copying checks, and depositing money. After students are registered, the Assistant is responsible for creating and maintaining each student’s paper file, and for assembling and sending appropriate mailings to students. The Administrative Assistant is also responsible for organizing and maintaining files related to scholarship applicants. Additionally, he or she aids in updating and maintaining the Festival’s database brochure and performance inquiries.

Required Experience: The Administrative Assistant to the Dance Festival must be detail oriented and a responsible person with previous office experience and a good recommendation from a previous employer. Desired Experience: Experience or interest in the arts, specifically dance
