SCARAB Data Repository Submission Form

Please use this form for submissions to the SCARAB Data Repository.  Note that both “Save and Continue Later” and “Submit Completed Form” options are available at the bottom of this form.

Selecting the “Save and Continue Later” option provides a URL you can use to reopen and complete the form at a later time.  For convenience, the link can also be emailed to a provided email address.

When you have provided all necessary information, you can submit your completed form by selecting the “Submit Completed Form” option.  This notifies administrators that your completed form is available for review.  If the admin has any questions, you will be contacted.  Otherwise, you will be notified when your submission has been processed and is accessible on the SCARAB Data Repository site.


  • Please provide a unique and descriptive title for your data set. Be as concise as possible (≤ 100 characters).
  • Please provide the name(s), email address(es), and sponsoring institution of the corresponding contributor(s) for this data set.

  • While ANY FILE TYPE can be hosted on the SCARAB Data Repository (SDR), the repository can also provide streaming access to the following media/file types:
    Flash/HTML5, Audio/Video, RealAudio/Video, SWF Format, Windows Media Audio/Video, Vimeo, YouTube.

    For media you would like to stream from the SCARAB Data Repository, please provide a URL link to that content from your Bates Google Drive account. To migrate the file(s) to SDR, you must share access to the content with SCARAB institutional repository manager Krystie Wilfong (i.e. kwilfong@bates.edu).

  • Please Provide a URL or file path to a single file containing your data set. Typically this single file will be an aggregate/archive (e.g. tar, zip, etc) of multiple files.
    For example, you data set might be composed of multiple data files along with a simple text (i.e. .txt) readme file which provided important information about raw data file access and/or interpretation.
    This single file must be accessible to SCARAB institutional repository manager Krystie Wilfong (i.e. kwilfong@bates.edu).
    Options for sharing this single file include network file shares (e.g. Etna Scholarship) and cloud storage (e.g. Google Drive, DropBox, etc).
  • Please provide URL(s) or file path(s) to any additional OPEN ACCESS files to be included (e.g. //netapp/etna/scholarship/[...], https://drive.google.com/file/[...], etc. For each additional category, select the "+" button and enter the discipline in the new text field.
    Note that although as many as 9 additional files can be uploaded as part of the complete record in the SCARAB Data Repository, all of these secondary files will be completely open access and can not be restricted via access controls.

    Options for sharing these files include network file shares (e.g. Etna Scholarship) and cloud storage (e.g. Google Drive, DropBox, etc).
  • Please include a link to a shared image file for use as a "cover image" in the SCARAB Data Repository.
    Providing an image is not required, but if you do not a generic "SCARAB Data Repository" image will be used.
