Summary, Scope, and Responsibilities

Student Programming Advisor (SPAs) serve as peer event advisers and office program coordinators to assist with the process of campus event planning from start to finish. When a club or an individual student proposes an event or program that requires the use of campus event spaces, SPAs meet with the club or student to coordinate the event under the advisement and supervision of the Coordinator of Campus Life Programming.

Tasks and Responsibilities:
Serve as the liaison between Campus Life and the event sponsor.

Meet with other SPAs and Campus Life staff on a weekly basis to discuss event registrations and planning.

Meet with student event sponsors to identify and assist with logistical needs associated with planning their event/program, including but not limited to:
-Space reservations, including submitting reservations on behalf of the club via the Event Management System (EMS)
-Budget
-Coordinating with outside vendors and performers
-Navigating campus resources and networking with other offices and departments, e.g. Security, Residence Life, Dining, etc.

Assist event/program planner with obtaining access to funds, including additional funding offered by Campus Life and BCSG, as well as seeking co-sponsorship from other departments or organizations.

After events, follow up with event/program planners to have them complete an event/program planner evaluation form.

Assist with Campus Life program/event development.

SPAs may be asked to assist with staffing events as necessary.

Solicit applications to the Late at Bates and Wind Down Weekends programs for funding and logistical support of student initiatives.

Requirements


Must be organized, responsible, personable, enthusiastic and able to work well with others even under duress. Must be able and willing to work with a diverse group of students and staff. Must be able to respond to communications in a timely manner (no more than 24 hours except under special circumstances). Should have an awareness of Bates social life, and an interest in events and programming. Preference to students with prior events and/or programming experience.

Reporting


SPAs report to the Assistant Dean of Students for Campus Life. They will work closely with each other. SPAs may also interact with Residential Life Staff, Events Office staff, Bates Dining personnel, Facilities staff, and Campus Life staff members.
