Understanding Your Allocation

The BCSG Budgets and Clubs Board uses the below criteria to decide on initial allocations, in conjunction with the Club Funding Rules.

A The Budgets & Clubs Board provides initial allocation funding towards essential services, materials and equipment for clubs. Permanent equipment must be stored and secured. Please contact campuslife@bates.edu to arrange for its storage.
B Event/program/club activity has shown a record of success for the club. Funding approved.
D This event has occurred for 3+ years and is categorized as an annual event, therefore funding is allocated in full.
E This is an expense that is permitted by the Budgets & Clubs Board, however we do not provide initial allocation funding for events that are not traditional, i.e. have occurred less than three times annually. Your documentation did not indicate that this is a traditional event. Please submit a Club/Org Additional Funding Application as the event approaches.
F Payment to Bates students for services rendered is legally prohibited.
G Club failed to appear for a budget hearing. The Budgets & Clubs Board is not obligated to fund an initial allocation
H Donations and gifts using club funds is not permitted. Awards and prizes are permitted, but should be made in moderation.
I This is an expense that is permitted by the Budgets & Clubs Board, however we are not granting full initial allocation funding for it, as the actual cost depends on a variety of factors that will solidify as the event/program/activity date approaches. Please submit a Club/Org Additional Funding Application as the date approaches.
J Details around this event/program/activity are unclear based on the documentation submitted. When details are solidified, please submit a Club/Org Additional Funding Application so the Budgets & Clubs Board may consider it.
K Funding approved for promotional merchandise. Please purchase promotional merchandise in moderation, and only to promote a club or club-sponsored event or program. Promotional merchandise may not be personalized.
L Events and/or resources which are not open to all members of the Bates community for attendance and/or use are not permitted.
M Campus Life provides graphic design services for all clubs free of charge. If you still require this subscription, please contact campuslife@bates.edu, and they will work with you to provide you access to the software you need, free of charge.
N This expense represents a potential facility improvement project. Clubs are not expected to shoulder this cost. Please contact campuslife@bates.edu to discuss your plans, and they will work with you to ensure the space fits your needs.
O Campus Life plans to provide such services to clubs free of charge. Please contact campuslife@bates.edu to discuss your needs and obtain access.
P There is not currently adequate club storage space to accommodate high value items. Please contact campuslife@bates.edu to discuss your needs and potential solutions.
Q Fundraised and/or donated funds forwarded from last academic year.
R Due to the Club/Org COVID-19 Guidelines, this activity is not currently possible. Be advised that Campus Life anticipates these guidelines may loosen in the coming weeks. If your proposed activity becomes possible, please submit a Club/Org Additional Funding Application at that time.
S Due to the current Club/Org COVID-19 Guidelines, food may only be provided at outdoor club events when it is needful – that is, for a religious/cultural observance and/or an activity that occurs at a mealtime, and is projected to take longer than 2 hours.
T This activity is intended to assist the club with attracting prospective club members and/or promoting club unity. Therefore, funding is approved.
U Due to the Club/Org COVID-19 Guidelines, food may only be provided at outdoor club events. Please ensure unmasked individuals are able to maintain at least 3’ of distance from each other.
V The Budgets & Clubs Board is unfortunately unable to provide initial allocation funding for the line item requests above, for the above reasons. That said, we would like to provide you with this discretionary funding to assist your club with start of year needs. All other funding needs should be submitted via the Club/Org Additional Funding Application. Thank you!
